Job Description
Roles & Responsibilities
Project Administration & Coordination
- Provide comprehensive administrative support to the PMC team and Project Manager.
- Manage project calendars, schedules, and meeting arrangements.
- Prepare agendas, take meeting minutes, and track follow-up actions.
- Coordinate communication between PMC, client representatives, contractors, and stakeholders.
- Support project onboarding activities (badges, access, safety inductions, etc.).
Document Control & Information Management
- Maintain and update project documentation in accordance with PMC standards.
- Manage correspondence, technical documents, drawings, and submittals.
- Ensure timely distribution of documents to relevant parties and track responses.
- Support the use of document control systems such as Aconex, Procore, SharePoint, or similar platforms.
- Ensure document compliance with quality management procedures.
Reporting & Project Support
- Assist in preparing weekly, monthly, and progress reports for internal and client submission.
- Support data collection for KPIs, dashboards, and project trackers.
- Maintain project registers (RFI, NCR, submittals, contracts, drawings, etc.).
- Assist with compiling presentations, reports, and other project deliverables.
Office & Logistics Support
- Oversee project office supplies, equipment, and coordination with facility teams.
- Arrange travel, accommodation, and logistics for PMC personnel as required.
- Support project events, workshops, and audits.
Desired Candidate Profile
About you
- Bachelor s degree in Business Administration, Office Management, or related field.
- 3 5 years of experience as a Project Secretary, Administrative Coordinator, or Document Controller.
- Experience working within PMC or large-scale construction/engineering projects highly preferred.
- Prior exposure to major project environments in sectors such as infrastructure, oil & gas, real estate development, or industrial projects is an advantage.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with project management or document control systems (Aconex, SharePoint, EDMS).
- Strong organizational and time management skills.
- Excellent English communication skills (written and verbal).
