Job Description
Roles & Responsibilities
- Manage and organize daily office operations, including scheduling meetings, appointments, and travel arrangements.
- Prepare, format, and proofread correspondence, reports, and other documents to ensure accuracy and professionalism.
- Maintain and update filing systems, both electronic and physical, for efficient document retrieval and compliance.
- Serve as the primary point of contact for internal and external communications, screening calls and emails as appropriate.
- Coordinate logistics for meetings, conferences, and company events, including preparing agendas and taking minutes.
- Assist in the preparation and processing of invoices, purchase orders, and other administrative paperwork.
- Monitor office supplies inventory and place orders to ensure uninterrupted workflow.
- Support senior executives and project managers with administrative tasks as needed.
- Handle confidential information with discretion and maintain a high level of professionalism at all times.
- Liaise with vendors, clients, and other stakeholders to facilitate smooth business operations.
Desired Candidate Profile
- 2-5 years of proven experience in a secretarial or administrative support role.
- Excellent organizational and multitasking abilities to manage competing priorities in a fast-paced office.
- Strong written and verbal communication skills in both Arabic and English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Attention to detail and accuracy in all administrative tasks and documentation.
- Ability to handle sensitive information with integrity and confidentiality.
- Demonstrated problem-solving skills and proactive approach to office challenges.
- Professional demeanor and ability to interact effectively with colleagues, management, and external partners.
- Flexibility to adapt to changing priorities and work independently or as part of a team.
- Strong time management skills to meet deadlines and support multiple stakeholders.
