Job Description
Roles & Responsibilities
- Advanced Data Entry & Reporting: Utilize Microsoft Excel to an advanced level to track, collate, and report on key departmental metrics (e.g., patient wait times, throughput, resource utilization, and physician hours).
- Database Management: Accurately enter and manage patient information within the Electronic Health Record (EHR) system and other hospital databases (e.g., admissions, discharges, transfers, lab results).
- Document Generation: Prepare professional correspondence, presentations (PowerPoint), statistical reports, and meeting minutes for the ED leadership team.
Administrative & Operational Support
- Coordination: Manage the administrative flow of the department, coordinating communication between physicians, nurses, and other ancillary services (e.g., Radiology, Lab, Admitting).
- Supply Management: Monitor, order, and manage inventory of office supplies and non-clinical departmental resources.
- Records: Maintain organized, accurate, and confidential patient and departmental files, ensuring strict adherence to hospital privacy standards.
- Scheduling: Assist with the coordination of ED staff and physician schedules, ensuring up-to-date documentation.
Desired Candidate Profile
Qualifications & Skills
- Education: Bachelor's degree in Administration or a Related field preferred.
- Experience: Minimum of 2-3 years of secretarial or administrative experience, preferably in a hospital or other fast-paced medical environment.
- Excellent in Microsoft Office, with demonstrated Advanced Excel skills (formulas, data manipulation, pivot tables, charts).
- Communication: Proven track record of excellent verbal and written communication, interpersonal skills, and professional phone etiquette.

- Ability to Work Under Pressure: Proven ability to remain calm, focused, and effective in a demanding, high-volume, and sometimes stressful environment.
- Attention to Detail: Meticulous accuracy in data entry and administrative tasks.
- Medical Terminology: Working knowledge of medical terminology is a strong asset.
