Job Description

Roles & Responsibilities

Job Requirements:

Training Certification Responsibilities:

  • QMS Responsible for working within the provisions and guidelines of the Quality Assurance system
  • HSE Responsible for personal safety safe working practices. Understand and follow OH&S procedures

HSE certification of crew

To ensure all new handover crew training is done before they reach to client location (As per agreed TAT).
Uploading Crew certificates along with training dates validity in Deployer as applicable
Tracking crew Training Certificates through Deployer-BI Reports and getting the renewal certificates done.
Inform Crews on expiry of Training certificates Based on PM team advise book them for the same. (If any additional Training require)
To Raise PR and complete GRN on ERP and keeping the Track of all related details
Monitor monthly spending against the allocated budget for Training
Coordinate storage and archiving all training related records
Maintain the Training matrix as per client specific Requirement and update BI data accurately.
Assist and advise the QHSE management on matters related to monitoring of annual functional objective (KPI s) and continually track the status.
Maintaining Training line-up Data on monthly basis while close coordination with assigned CDT
Sharing monthly training provision costs with the Finance
Ensuring that adequate number of Training vendors onboarded in all global locations to meet training requirements
Close Follow ups with CDT for any pending Training of crews (if face any challenges)
Follow up with crews to get HSE certification copies, where client take care of Trainings.

Medical Responsibilities:

Ensuring all new handover crew medical done before they reach client location (medicals as per client requirements- As per TAT).
Tracking crew medical certificates through Deployer-BI Reports.
Inform Crews on expiry of medicals certificates and getting their Medical done in their respective home country.
Uploading crew certificates along with medical dates validity in Deployer as applicable.
Coordinating with PM Team (on ground), medical vendors and Deployment Team for crew medicals
Getting crew medical verified by our internal doctor and coordination with crew and doctor them if required.
Getting full-time employee medical verified from our internal doctor and coordination with them if required.
Maintaining track of all crew & full-time employees on duty / on-ground medicals cases
Repeat crew reimbursement: Raising on ERP and informing them.
Consistent follow up with medical cases with crews (on hitch & off hitch).
Raising PR and GRN on ERP and keeping the Track of related information
Monitor monthly spending against the allocated budget for Medicals
Ensuring that adequate number of Training vendors onboarded in all global locations to meet training requirements
Close Follow ups with CDT for any pending Medical (if face any challenges)
Follow up with crews/client to get Medical Reports, where client take care of Medical.
Sharing monthly medical provision costs with the Finance.

QHSE Responsibilities:

Skills:

Training & Medical Coordination & Knowledge Understanding of medical tests, fitness criteria as per client (geography wise) and similarly understanding of Training required for all service lines delivered to client
Data Management & Reporting Proficiency in tracking of Training / Medical cases, updating records in Deployer
Follow-Up & Case Management Persistent follow-up with crew members for training certificates, reports, test results, and medical updates.
Vendor Management Liaising with Training & Medical service providers for related activities.
Doctor Coordination Getting medical reports reviewed by company doctor and following up on recommendations.
Strong Communication Clear, professional communication with internal teams, Crew and external vendors.
Assertiveness To mandatorily ensure that all stakeholders comply with QHSE protocols on Training & medicals process
Persistence & Proactiveness Ensuring crew members / FTE submit reports on time without delays.
Multitasking & Time Management Complete flexibility and availability for medical / training activities at all times
Problem-Solving Addressing delays and escalations
Confidentiality & Sensitivity Handling medical data discreetly and ensuring privacy compliance.
Computer skills MS Office, ERP, SharePoint

Desired Candidate Profile

Education

Essential

  • Minimum bachelor s degree
  • Excellent written and verbal English communication skills
  • Excellent computer in Microsoft Office applications including software applications like SharePoint, PowerPoint, MS Word, Excel etc.Preferred Knowledge of working with ERP Knowledge of Oil Gas related medicals & Training processExperience

Preferred

  • Background experience in QHSE preferred but not limited to
  • Experience of working with Offshore teams and stakeholders spread across the globe
  • Experience in working with ISO Standards would be preferred
  • Knowledge of ISO Audit and QMS / HSE Experience is an advantage but not a must
  • Able to effectively manage time and prioritize tasks in order to meet established deadlines
  • Able to work and communicate effectively with all levels of colleagues, superiors/managers and other external contacts
