Job Description

Roles & Responsibilities

  • Coordinate with sub-vendors, engineering teams, and third-party agencies to obtain required inputs and documentation.

  • Establish and implement a standardized Project Document Control Plan in collaboration with the Project Manager, Engineering Manager, and Document Lead.

  • Support the document management team in processing and delivering customer submissions.

  • Generate project-wise management information reports on document status as required.

  • Follow up on critical documents with all stakeholders, both internal and external.

  • Ensure all documents are properly archived in accordance with the approved project document control plan.

  • Verify that standard project setup, document workflows, and templates are consistently applied.

  • Maintain and coordinate the Master Document Register (MDR) / Vendor Document Requirement List (VDRL) within the document management system.

  • Prepare and submit document packages to clients and third parties (e.g., engineering subcontractors, translation agencies).

  • Manage incoming and outgoing project communications, ensuring proper distribution per the document control plan.

  • Review project documents, drawings, and specifications to ensure completeness and accuracy before system entry.

  • Liaise with document originators and engineering personnel to resolve discrepancies and implement required revisions.

  • Track, report, and follow up on pending documents requiring approvals or comments.

  • Maintain and regularly update document databases and filing systems.

  • Ensure strict confidentiality of all project information and documentation.

  • Assist in the preparation and compilation of MDRB, VDB, and transmittal packages as required.


Core Competencies:

  • Proficient in electronic document management systems (EDMS)

  • Experienced in handling multiple projects simultaneously in a fast-paced environment

  • Strong working knowledge of Microsoft Windows operating systems

  • Advanced proficiency in Microsoft 365 applications (Word, Excel, Outlook, SharePoint)

  • Excellent written and verbal communication skills in English

  • Skilled in managing and maintaining Master Document Registers (MDR)

  • Expertise in generating regular status reports and management reports

  • Solid understanding of document classification and control procedures


Desired Candidate Profile

Education:

Bachelor’s degree in Business Administration, Information Management, or a related field.

Relevant certifications in document control or SharePoint are a plus.
