Job Description
Roles & Responsibilities
In close collaboration with the project, the Senior Support Services Assistant will perform the following tasks:
- Implementation of the project
- Support the project manager in the implementation of activities
- Assist in the proper monitoring of the project's purchasing, logistics, administration and finance operations
- Plan the necessary schedules and priorities for the goods or services in question
- Facilitate the writing of communications and reports about the project
- Review documents for accuracy and compliance with UNOPS rules
- Capture and update accurate data and information to facilitate monitoring and evaluation of project activities; institutionalize and disseminate knowledge
- Provide complete and up-to-date documentation of activities
- Project monitoring and follow-up:
- Assist the project manager in preparing project completion reports and ensuring compliance with contractual obligations
- Assist in reviewing field staff work plans and reviewing reports to ensure numerical accuracy to reflect work performed
- Assist in adapting the following plans and have them approved by the project manager and/or the steering committee:
- Project initiation documents
- Relevant sequence plans/exception plans and product descriptions
- Support for the drafting of the following reports:
- Key Point Reports
- Follow-up/end of sequence reports
- Project Closure Checklist
- End of project report
- Product Delivery Report
- Manage the following files: i) electronic file (blue folder); ii) files relating to purchasing, human resources and finance, in accordance with requirements
- Ensure that all expenses comply with financial regulations and financial management rules of the
Desired Candidate Profile
A high school diploma is the minimum requirement for this position or;
- A first-level university degree (Bachelor's degree) or equivalent, preferably in finance, procurement and/or business or public administration, and/or economics or a related field is an asset.
With a high school diploma, a minimum of 5 years experience (or less depending on university degrees) in finance, purchasing, and/or project management is required
- Experience working with a range of stakeholders in developing countries is desirable
- Knowledge of UN/UNDP/UNOPS procurement rules and regulations is an advantage.
LANGUAGES:
- Complete fluency in French is required
- Complete fluency in English is required
- A complete command of Arabic is required
