Exciting Opportunity: Join Ali & Sons – Body Shop Service Administrator (Motors Division)

Are you organized, detail-oriented, and experienced in service administration within the automotive industry?
Join Ali & Sons – Motors Division in Abu Dhabi as a Body Shop Service Administrator and play a vital role in supporting internal departments with efficiency, accuracy, and professionalism.

 

Role Purpose

To ensure internal customers (Sales and Service Departments) receive the highest level of administrative and operational support through accurate job card management, billing coordination, reporting, and KPI tracking.

 

Key Responsibilities

Job Card & Work Order Management

Open job cards for PDI services including Dewax/Polish, Clean & Wash for all brands.
Open weekly PDI job cards for MG Motor vehicles (Dewax/Polish & Clean & Wash).
Open job cards for internal Body Shop repair jobs when required.
Open job cards for PDI-ADNIC claims if necessary.
Ensure all work orders are properly authorized before processing.
Costing & Billing

Complete costing for labor, consumables, and sublet services in each job card.
Create Purchase Requisitions for sublet services as per approved work orders.
Prepare Proforma Invoices in a timely manner and charge to the appropriate department.
Verify invoices against SAP system records before forwarding to cashier for closure.
Monitor raised orders and ensure timely billing.
Reporting & Administration

Maintain accurate PDI service records.
Maintain KPI reports and generate additional reports/presentations as required.
Provide relief support for other administrative roles when necessary.
 

What We’re Looking For

Education: Bachelor’s Degree.
Experience: Minimum 4 years in a similar automotive service administration role.
Languages: Fluency in English and Arabic (both essential).
Software Skills: Computer literate with strong system knowledge (SAP experience preferred).
