Job Description
The Tax Specialist is responsible for overseeing and supporting all tax-related activities across the company, including the Singapore office. This role ensures full compliance with applicable tax regulations, including Income Tax, Value Added Tax (VAT), Withholding Tax (WHT), and Goods and Services Tax (GST). The Specialist also Ensures the accounts team during monthly, quarterly, and annual closings by reviewing and validating tax-related entries to ensure accuracy, consistency, and compliance with relevant laws and internal policies.
Key Accountabilities
Taxation
- Ensure that the Omani group companies are compliant with the rules and regulations issued by the Oman tax authority OTA.
- Ensure that the Singapore company is comply with local authorities such as IRS & MBA.
- Prepare and file annual return of income tax with OTA tax portal.
- Ensure and file monthly WHT return for all the companies required.
- Prepare and file VAT return with all the requirements such as taxpayer checklist and other requirements.
- Review and validation of VAT and GST entries within the ERP system to ensure proper tax coding/identifiers.
- Ensure in the preparation and filing of U.S. freight tax returns for vessel-owning companies that call at U.S. ports.
- Ensure in compiling data for tax authority inspections/assessment and audits, and coordinate with internal departments to gather necessary documentation.
- Prepare and submit VAT refund claims, ensuring all documentation is accurate and compliant.
- Monitor changes in tax legislation and work with the team to update internal controls and procedures accordingly.
- Ensure that the ERP and documentation are capable to comply with tax authority requirements.
- Review the tax applicability of all companies’ revenue and expense.
- Ensure the company in leveraging benefits under the Double Taxation Agreement (DTA).
- Prepare and submit applications to obtain Official Tax Authority confirmation for DTA benefits.
- Ensure in the implementation of the transfer pricing policy across the group.
- Ensure with the implementation of E-invoicing requirements, including invoice validation and reporting processes.
- Ensure the company in all matters related to international tax such as BEPS-Pillar two.
Performance Indicators
- Timely submission of all statutory returns and reports without penalties
- No instances of non-compliance or late filings in Oman and Singapore
- Annual income tax returns submitted at least 2 weeks before the deadline
- No errors flagged by the OTA during review or audit
- Accuracy and timeliness of monthly WHT submissions
- VAT returns submitted on time for all relevant companies
- Refund claims processed and approved within 90 days of submission (target: >90% success rate)
- Monthly reconciliation showing ≥98% accuracy in VAT/GST coding in ERP
- On-time submission of U.S. freight tax returns with no IRS rejections
- All requested documents provided within 5 business days during inspections/audits
- No major findings or penalties arising from audits
- Tax control updates implemented within 30 days of relevant legislative changes
- At least 1 internal training or memo issued semiannually on key tax updates
- Monthly tax compliance checklist completed, and ERP reviewed for alignment with tax authority requirements
- Quarterly review completed and documented for all material tax-impacting items•
- 100% of eligible DTA benefits applied and supported with proper documentation
- Official DTA confirmation obtained for 100% of eligible applications within target response timelines
- Annual update and documentation of transfer pricing files as per Group policy and OECD guidelines
- Intercompany transactions reviewed quarterly for alignment with transfer pricing policy
- 100% of B2B invoices e-invoiced and validated through official portals
- Full compliance achieved within implementation deadline set by the authority
Annual Financial Statement Closing
- Support the Department with the annual financial closing.
- Ensure in closing entries related to all tax matters.
- Ensure with the preparation of individual financial statements of vessels owning companies.
- Ensure with other annual financial statements, closing requirements according to needs.
Improvement
- Help improve simple tax processes and data entry in the ERP system.
- Ensure in reducing mistakes and avoiding tax penalties.
- Learn and share basic tax knowledge with the accounts team.
- Support in checking VAT refunds and understanding tax rules.
- Follow instructions to help with e-invoicing and transfer pricing tasks.
- Stay updated on any changes in tax rules and help apply them.
Desired Candidate Profile
Minimum Qualification: Bachelor’s degree in accounting/ finance a master’s Degree (preferably ACCA or, CMA or a master’s Degree holder).
Minimum Experience: Minimum 3-5 years’ experience in an Accounting or Taxation function in Shipping company.
International tax, VAT, Income tax, and WHT experience execution and implementation.
