About the Role
- The Senior Bid Specialist supports the Bid Manager in managing the end to end bid lifecycle, contributing to the development of high quality, compliant, and competitive proposals. The role focuses on bid coordination, content development, compliance, financial inputs, and stakeholder engagement to ensure bids are criteria driven, auditable, and aligned with commercial and brand objectives.
- The Senior Bid Specialist plays a critical role in translating bid strategy into high quality proposal outputs and ensuring smooth execution across all bid stages.
What you will be doing
- Assist in preparing financial schedules and supporting documentation under the direction of the Bid Manager.
- Assist in Go / No Go assessments by analysing scope, workload, risks, market conditions, and submission constraints.
- Assist with the handover of awarded bids to Operations and Project Teams, ensuring documentation and background information are complete and accurate.
- Contribute to the development of opportunity storyboards, win themes, and value propositions aligned to the Bid Manager s overall bid strategy.
- Coordinate bid team activities, deadlines, and deliverables, ensuring effective collaboration and stakeholder engagement.
- Coordinate inputs from technical, commercial, and functional stakeholders to ensure complete, high quality, and timely proposal content.
- Coordinate with Marketing and Graphic Design teams to ensure proposals are visually clear, professional, and aligned with brand standards.
- Draft and review proposal sections (methodologies, management approaches, CVs, company profiles, execution plans, etc.) ensuring clarity, relevance, and compliance.
- Ensure governance requirements, approvals, and internal processes are followed throughout the bid lifecycle.
- Liaise with JV partners, associates, and sub consultants to gather inputs and support responsibility matrices and teaming arrangements.
- Identify bid risks and issues, support mitigation planning, and ensure risks are logged and tracked.
- Ensure proposal responses are criteria driven, auditable, and fully compliant with RFP requirements.
- Maintain organised bid records, templates, and lessons learned for continuous improvement.
- Organise and support round table meetings, reviews, and internal bid workshops.
- Review RFPs / ITTs to identify requirements, submission instructions, risks, and evaluation criteria; prepare compliance matrices and trackers.
- Review layout, graphics, diagrams, and formatting to improve readability and impact of submissions.
- Source and validate labour rates, man month estimates, and cost build ups, challenging assumptions where required.
- Support preparation of financial strategies, pricing inputs, and commercial assumptions in coordination with Finance, HR, and Center of Excellence.
- Support responses to client clarifications and post submission queries.
- Support the Bid Manager in managing the full bid lifecycle, including RFP review, pre tender activities, bid preparation, submission, post submission clarifications, and handover to Operations.
Required Experience
- 10 - 15 years of experience in bid / proposal management within the Architecture, Engineering, Construction, or Consultancy sector.
- Experience working on complex, competitive tenders, ideally within the Middle East market.
- Proven experience supporting large, multi stakeholder bids and proposal submissions.
Education
- Graduate degree in Engineering, Architecture, Construction Management, Business, or related discipline.
Certifications & Memberships
- Membership of professional institutes or continued professional development in bid management, project management, or commercial disciplines is desirable.
Essential Skills
- Strong understanding of the bid lifecycle and proposal best practices.
- Excellent written and verbal communication skills in English, Arabic is an advantage.
- Strong analytical and commercial awareness.
- Ability to manage multiple deadlines in a high pressure environment.
- Highly organised, detail oriented, and process driven.
- Strong stakeholder coordination and collaboration skills.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Proactive, solution oriented, and motivated by bid success.
