Roles & Responsibilities

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive to provide comprehensive support to our CEO. This is a critical role that requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, global business environment. The ideal candidate will be a strategic partner who anticipates needs, streamlines workflows, and enables the CEO to focus on strategic priorities.

Key Responsibilities

Calendar & Meeting Management

Manage the CEO's complex calendar across multiple time zones, scheduling and coordinating meetings with internal and external stakeholders. You will prioritize conflicting meeting requests, resolve scheduling conflicts, and prepare meeting agendas, materials, and follow-up documentation. Maintaining accurate records of all commitments and deadlines is essential to this role.

Travel Coordination

Arrange domestic and international business travel, including flights, accommodation, and ground transportation. Prepare detailed travel itineraries and logistical arrangements, handle visa applications and travel documentation, and coordinate logistics for both CEO-accompanied and independent travel scenarios. You will also manage travel expenses and ensure compliance with company policies.

Communication & Correspondence

Manage the CEO's email inbox by flagging urgent messages and filtering non-critical communications. Draft, edit, and proofread professional correspondence, reports, and presentations. Prepare meeting minutes and action item tracking while maintaining confidentiality of sensitive business information. Serve as the point of contact between the CEO and internal/external stakeholders.

Administrative Support

Prepare reports, presentations, and business documents with meticulous attention to detail. Maintain organized filing systems (both physical and digital), manage databases, and ensure data accuracy. Handle confidential records and sensitive documentation, and support event planning and coordination as needed.

Digital & Technology Management

Manage the CEO's LinkedIn profile and digital presence. Utilize project management tools and communication platforms such as Outlook, Google Calendar, Microsoft Teams. Explore and implement technology solutions to improve efficiency, maintain and update company systems and databases, and learn new software tools quickly and efficiently.

Strategic Support

Identify process improvements and workflow optimization opportunities. Create systems and tools to streamline operations and anticipate the CEO's needs to provide proactive support. Support strategic planning and business initiatives, and liaise between departments and external stakeholders to ensure smooth communication.

Crisis Management

Handle urgent, last-minute requests with composure and efficiency. Manage high-pressure situations and tight deadlines, support crisis communication and coordination as needed, and maintain professionalism and calm demeanor under stress.

Required Qualifications

Experience

Minimum 10+ years of experience as an Executive Assistant or Personal Assistant to senior executives. Proven track record supporting C-level leadership in fast-paced, global business environments. Experience managing complex schedules, travel coordination, and administrative operations. Demonstrated ability to work independently and make decisions on behalf of the executive.

Technical Skills

Expert proficiency in Microsoft Outlook, Google Calendar, and calendar management systems. Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint). Experience with project management and communication tools (Teams, etc.). Proficient in email management, database systems, and digital organization. Quick learner with ability to master new software tools efficiently.
