Job Description
Roles & Responsibilities
Switchboard Operator
Main responsibilities :
- Telephone reception
- Answer incoming calls within the defined timeframes
- Quickly identify the interlocutor's needs
- Direct calls to the correct services
- Accurately receive and transmit messages
- Communications Management
- Handle outbound calls for clients (wake-up calls, reservations, specific requests)
- Manage internal communications between departments
- Use the telephone switchboard and associated software
- Customer relations
- Adopt a courteous, professional and warm tone
- Respect the standards of reception and quality
- Handle simple requests and forward complex requests
- Administrative tasks
- Keep the call logs up to date
- Enter certain customer information
- Participate in updating the databases
- Order taking Room service
- Answering customer calls for room service orders
- Advise customers on menus and suggestions
- Enter commands accurately into the dedicated system
- Check the essential information (room details, allergies, specific requests)
- Effectively transmit orders to the relevant teams
- Follow up on requests if necessary
- Message Box Management
- Use the Message Box tool to centralize and track customer requests
- Record and forward messages to the relevant departments
- Ensure the monitoring and updating of requests in real time
- Ensure proper traceability of information
- Prioritize requests according to their level of urgency
Technical skills:
- Proficiency in using the telephone switchboard
- Knowledge of computer tools (hotel PMS, office automation)
- Good elocution and clear diction
