Job Description

Roles & Responsibilities

Key Responsibilities

Administration & Audit

  • Oversee administration and periodic audits for:
    • EOR (Employer of Record) services
    • PRO services
    • Supplier management processes

Log Management & Documentation

  • Supervise and ensure accuracy of:
    • Project Logs
    • Service Contract Logs
    • Job Card Logs
    • Employee Logs
  • Ensure proper document archiving and audit readiness

GulfHR Management

  • Manage and maintain GulfHR system updates
  • Ensure data accuracy and integrity

Templates & Process Management

  • Develop, update, and maintain operational document templates
  • Review,implement, and improve existing and new administrative processes

Validations

  • Conduct validation checks for:
    • Job Cards
    • Sales Orders

Reporting

  • Prepare and submit weekly and monthly operational reports to Management

TCA Administration

  • Oversee ADNOC registrations and contract administration
  • Maintain client document filing
  • Act as a point of contact for clients for relevant administrative services

General Administrative Duties

  • Service Contract, Sales Order, and Tax Invoice reconciliation
  • Coordinate insurance renewals
  • Provide PRO-related expiry alerts to Key Account Managers (KAM)
  • Follow up with internal and external stakeholders to ensure task completion
  • Arrange car rentals for staff when required

Issue Resolution & Escalation

  • Act as the primary focal point for resolving issues related to:
    • Invoicing
    • Supplier payments
    • Payroll
    • Job cards
    • Accounts receivable

Cross-Functional Support

  • Take on additional responsibilities as required to support business needs

  • Strong leadership and team management skills
  • Excellent organizational and multitasking abilities
  • Proficiency in HR systems and administrative platforms
  • Strong reporting and analytical skills
  • High attention to detail and accuracy
  • Effective communication and problem-solving skills

Desired Candidate Profile

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field
  • Minimum 5 years of experience in Administration within PRO, EOR, or related services
  • Prior experience managing cross-functional teams is preferred
  • Strong knowledge of UAE regulations and administrative processes
  • UAE Driving License preferred
  • Proven team management experience
