Job Description

Roles & Responsibilities

The Technical Assistant provides essential support to engineering and construction teams by assisting in document preparation, data management, coordination with site personnel, and maintaining project records. This role ensures the smooth execution of administrative and technical tasks required for day-to-day project operations.


KEY RESPONSIBILITIES AND ACCOUNTABILITIES:

Project Coordination

· Assist engineers and site teams in preparing technical documentation, drawings, and reports.

· Coordinate between site and office teams for document submission, follow-ups, and updates.

· Support in scheduling meetings, maintaining minutes of meetings (MoM), and distributing relevant communication.

Documentation & Record Keeping

· Maintain and update logs for drawings, correspondence, material approvals, inspection requests, etc.

· Track progress reports, checklists, and site instructions.

· Ensure proper documentation and filing of technical records (hard and soft copies).

Site & Office Support

· Provide day-to-day support in tracking materials, manpower, and equipment status.

· Assist in preparing presentations, reports, and communication for management and clients.

· Collect, compile, and verify project data from the site and share it with the concerned team.

Quality & Safety Support

· Coordinate with QA/QC and HSE departments for inspection records and safety documentation.

· Follow up on Non-Conformance Reports (NCRs), Method Statements, and checklists.

Miscellaneous

· Handle internal coordination between departments (Planning, Procurement, QA/QC, HSE, etc.)

· Assist in the preparation of drawings and reports using MS Office / AutoCAD (if applicable).

· Support engineers in preparing work plans and documentation for client reviews.


COMMUNICATION & WORKING RELATIONSHIPS:

Internal:

· Project Engineers / Construction Managers, Site Execution Teams

· QA/QC, Planning, Procurement, and HSE Teams

External:

· Subcontractors

· Consultants

· Vendors (for documentation and approvals)


FRAMEWORKS, BOUNDARIES & DECISION-MAKING AUTHORITY:

· Works within project timelines, reporting protocols, and documentation systems.

· Authorized to prepare and share technical documentation under the supervision of project leadership.

· Escalates delays, technical discrepancies, or urgent requests to reporting engineers.


QUALIFICATION & EXPERIENCE:

MINIMUM QUALIFICATION:

Bachelor’s Degree in Civil Engineering

MINIMUM EXPERIENCE:

· 5 years of experience in a technical or project coordination role within the construction industry


SKILLS & COMPETENCIES:

· Good understanding of construction processes and documentation

· Proficiency in MS Office (Excel, Word, PowerPoint); AutoCAD knowledge is an advantage

· Excellent organizational and multitasking abilities

· Strong verbal and written communication skills

· Attention to detail and ability to follow-up efficiently

· Team player with a proactive attitude
