Job Description
Roles & Responsibilities
Key Accountabilities Task
Cargo Planning Liaison with the line for receiving vessel discharge/load lists within the deadlines as stipulated.
Follow up with cargo control section to process vessel discharge/load lists (EDIs) files within the deadlines as stipulated.
Communicate with line and their agent if any discrepancies were found in vessel discharge and load lists.
Finalize discharge and vessel loading cargo figure including full, empty and export containers before proceeding for vessel planning.
Record and update all remarks in the system and archive all documents related discharge/load lists finalization process.
Vessel Planning
(Planning) Liaise with the line stowage coordinator for receiving vessel stowage (Movins) within the deadlines as stipulated.
Communicate with line stowage coordinator if any discrepancies were found in vessel stowage (Movins) and load list.
Communicate and advise berthing about crane requirements for a vessel or assign cranes based on the availability of cranes.
Discuss with planning superintendent about the yard equipment availability for the vessel.
Plan vessel discharge and load with consideration of highly efficient operations, real focus is on crane and vessel productivity (i.e. avoid crane clashes, avoid crane crossing towers, minimize crane sliding, plan DC operations, minimize yard clashes, best pick yard sequence), minimize vessel turnaround time and with considerations of vessel stability, HAZ and special cargo planning requirements.
Report about rumble loading from POL, undeclared OOG discharge or load, damaged units & additional restows involved during handling of malfunction reefers to line & stowage coordinator for further action.
Record and update all remarks in the system and archive all documents related to vessel planning finalization.
After vessel planning is completed send the EDI file to vessel coordinator and vessel directly on vessel email ID in order to get loading plan approval before vessel alongside.
After vessel completion close the vessel file and send the final EDI file to line/vessel coordinator.
Vessel Onboard Meet the vessel C/officer on arrival and provide loading plans and obtain approval well in time.
Coordinating with the line & stowage coordinator for any major changes requested by the vessel.
Vessel Planning (Execution) Prepare, execute, and monitor working cranes program/sequence in executing the vessel s discharge and load plans.
Prepare the required set of documents and handed over to execution, clean and error free.
Manage and control the execution of the vessel operations.
Focusing on the optimal equipment deployment and utilization.
Filing and housekeeping of planning related papers in accordance with the SOP s.
Maintain that all vessel receive the final paper work in a timely manner.
During the operation close monitoring of the vessel and advice shift manager of any required adjustments to crane, sequence, crane allocation, etc in accordance with the changing work priorities.
Participate in close team work with the yard planners to ensure and effective overall terminal planning is maintained to high standards internally and externally.
Close monitoring of the live updates in the system during discharge and loading operation through RDTs. If in case where RDTs fail ensure that the manual updates are received on time to timely updates.
Prepare and send final plan / documents / lists (hard copy / EDI) to vessel two hours prior to completion of the vessel operations.
Undertake all and any related vessel duties within the capabilities as required.
Project Management
Take a lead role when any project is assigned by the management.
Completes the project within the timeline defined by the management.
Provides comprehensive project reports after the project has been completed.
Continuous Improvement
Suggest improvements to the teams processes and operational methods.
Assist in the evaluation of improvement ideas and their impact within and across departments.
Assist in the trials and implementation of improvement activities. Including development of SOPs and training.
Occupational Health and Safety Responsibilities Commitment through action, participation, consultation and support of the workplace health and safety management plan.
Report all hazards to your supervisor relevant to equipment, yard, vessel, the working environment and work method.
Report all incidents/accidents to your supervisor including near miss and damage incidents.
Be committed to the safety objectives of working safely thereby not endangering self or fellow workers by any act or omission within the job.
Use complete PPE while visiting vessel onboard.
Customer Relations Handle customer and port users enquiries relating to cargo, full/empty containers and shipping arrangements.
Communicate internally and externally with customers in a professional manner.
Respond to all customer queries in a timely manner.
Miscellaneous The duties will be those normally undertake and performed within the scope of this position, including any additional duties as may be required from time to time, for which you have the experience and qualifications.

Desired Candidate Profile
Requires a bachelor degree preferably in logistics or operations management, and must have prior experience in using TOS (Navis N4)
Experience may be substituted for educational requirements at the college level.
Minimum six year of experience required as a vessel planner or minimum of two years of experience in each of following area as,
1. Yard Equipment Controller (Yard Dispatcher)
2. Cargo Controller
3. Yard Planner
Education level may be substituted for one year with this experience requirement.
Must have a good understanding of container terminal operations.
Must have sound knowledge of Microsoft Office, Navis EXPRESS and SPARCS.
Requires good verbal and written communications skills in English. Fluency in other languages helpful, especially Arabic.
Requires customer service focus, with excellent interpersonal skills.
Requires exceptional time management, due to fast-moving, demanding work environment.
Requires knowledge of container vessel stowage and stability criteria.
Requires knowledge of yard layout and operating techniques.
Requires knowledge in hazardous cargo handling.
Required knowledge in special handling equipment.
Requires ability to use any software system(s) on vessel and yard operation.
Requires a high level of planning and organizational skills.
Requires strong interpersonal skills.
High degree of accuracy.
Requires proactive and self-confidence.
Able to work as part of a team.
Ability to work under pressure with minimum supervision.

Must be able to work overtime, holidays, public holidays, weekends depending on shift schedule or as per department requirement.
Primarily an office environment, but outdoor activities may depend on the nature of work and requirements.
Required to maintain all safety and health requirements for office environment.
