Job Description

Roles & Responsibilities

Administrative Support Managing emails and inbox organization Scheduling and managing calendars Booking meetings, appointments, and travel Data entry and database management Preparing reports, presentations, and documents Handling file organization and cloud storage

Personal Assistance Handling personal scheduling, booking personal travel reminders, and event planning

Communication & Coordination Responding to client inquiries Drafting emails, messages, and internal communications Coordinating with teams, clients, or suppliers Managing the CRM system as per request

Project & Task Management Tracking project deadlines and deliverables Monitoring progress and updating task boards (Trello, Asana, Notion, etc.) Following up with teams to ensure tasks are completed

Financial & Operational Support Creating invoices and sending payment reminders Basic bookkeeping Managing expense reports Tracking subscriptions and renewals

Desired Candidate Profile

Proven experience as a Virtual Assistant, Administrative Assistant, or similar role

Strong written and verbal communication skills (English Language is a must)

Excellent time management and organization skills

Proficiency in office tools such as Google Workspace, Microsoft Office

Familiarity with project management tools (Trello, Asana, Notion)

Basic knowledge of bookkeeping and invoicing processes

Ability to handle confidential information with integrity

Preferred Skills

Strong attention to detail

Ability to work independently and manage multiple priorities

Problem-solving mindset with proactive follow-up

Tech-savvy and a quick learner of new tools and systems
