Job Description
Roles & Responsibilities
1. Client Consultation & Planning
- Meet with couples to understand their needs, preferences, style, culture, and budget.
- Propose wedding concepts, themes, and ideas (decor, colors, venue style, schedule, etc.).
- Prepare and present customized wedding packages and quotations.
- Create a detailed wedding plan and timeline (from booking until wedding day).
2. Budget & Vendor Management
- Prepare, manage, and monitor wedding budgets in coordination with the client.
- Recommend and coordinate with vendors:
Venues
Catering
Photography & videography
Decor & flowers
Entertainment (DJ, band, zaffe, etc.)
Makeup & hair, dresses, transportation, gifts, etc. - Negotiate with suppliers to get the best value while maintaining quality.
- Review and follow up on vendor contracts, bookings, and payments.
3. Coordination & Communication
- Act as the main point of contact between the client and all suppliers.
- Arrange and attend site visits, menu tastings, decor mock-ups, and rehearsals when needed.
- Share clear timelines and checklists with vendors and internal team.
- Provide regular updates to clients and respond to their questions and concerns.
4. Event Design & Guest Experience
- Assist clients in choosing wedding themes, color palettes, and decor concepts.
- Coordinate seating plans, guest lists, invitations, and RSVP tracking (if included in service).
- Ensure that all visual details (stage, tables, flowers, lighting, entrance, cake, etc.) match the agreed design.
- Propose ideas to enhance guest experience (welcome area, photo corner, selfie frame, giveaways, special entries, etc.).
5. On-Day Coordination (Wedding Day Management)
- Be present on site before, during, and sometimes after the event.
- Supervise setup and ensure all vendors arrive on time and follow the plan.
- Coordinate bride and groom arrival, ceremony flow, entrances, dances, and key moments.
- Handle last-minute changes and solve problems quickly and calmly.
- Ensure timing of activities follows the agreed schedule (cake cutting, dances, speeches, etc.).
- Monitor quality of service delivered by all suppliers during the event.
6. Administration & Reporting
- Maintain organized records for each wedding (contracts, payments, communication, checklists).
- Prepare post-event reports and collect feedback from clients.
- Suggest improvements to packages, processes, and vendor list.
- Update internal templates, checklists, and forms.
Desired Candidate Profile
- Excellent organization and time-management skills.
- Strong communication skills in English; Arabic or other languages is a plus (especially for UAE).
- Creativity and good sense of aesthetics (decor, colors, themes).
- Ability to handle pressure and stay calm during busy events.
- Problem-solving and decision-making skills.
- Customer-oriented attitude and professional appearance.
- Flexibility to work evenings, weekends, and holidays as required.
- Good computer skills
