Job Description

Roles & Responsibilities

Job Summary

The Accounts Payable Officer is responsible for managing the company’s outgoing payments, ensuring timely processing of supplier invoices, maintaining accurate financial records, and supporting the finance department in controlling expenses and maintaining strong vendor relationships.

Key Responsibilities

1. Invoice Processing

  • Receive, review, and verify supplier invoices and payment requests.

  • Match invoices with purchase orders and delivery notes (3-way matching).

  • Ensure proper approval before posting invoices in the system.

  • Record invoices accurately in the accounting/ERP system (e.g., Odoo).

2. Payment Management

  • Prepare payment schedules (cheques, bank transfers, WPS if required).

  • Ensure timely payments to suppliers as per agreed terms.

  • Process advance payments and petty cash reimbursements.

  • Coordinate with banks for payment processing.

3. Vendor Management

  • Maintain updated supplier records and documentation.

  • Reconcile supplier statements monthly.

  • Resolve invoice discrepancies and payment issues with vendors.

  • Respond to vendor inquiries professionally.

4. Reconciliation & Reporting

  • Perform monthly accounts payable reconciliation.

  • Prepare aging reports for management review.

  • Assist in cash flow forecasting.

  • Support month-end and year-end closing activities.

5. Compliance & Documentation

  • Ensure compliance with company financial policies and procedures.

  • Maintain proper filing of invoices and payment documents.

  • Support internal and external audits.

  • Ensure VAT compliance (if applicable in UAE).

Desired Candidate Profile

  • Bachelor’s Degree in Accounting, Finance, or related field.

  • 2–4 years of experience in Accounts Payable.

  • Experience in ERP systems (Odoo preferred).

  • Good knowledge of UAE VAT regulations.

  • Proficiency in MS Excel.
