Roles & Responsibilities
Job Role:
We are seeking a proactive and detail-oriented Administrative Assistant to support a Special Project within the Erth Abu Dhabi. The successful candidate will provide comprehensive administrative and secretarial support to the Director of F&B Operations, ensuring seamless coordination and communication across departments.
Job Responsibilities:
- Perform clerical duties, including responding to emails, phone calls, and messages. Coordinate administrative activities with guests, departments, outlets, and employees. Schedule and manage appointments.
- Provide professional secretarial and administrative support to the Director of F&B Operations and Restaurant Manager.
- Manage guest communications for event bookings, restaurant reservations, and inquiries in a timely and courteous manner.
- Support the department with time management, data collection, and communication to ensure smooth execution of projects and events.
- Prepare and distribute minutes of all department/project-related meetings as required.
- Process and maintain department employee records, including status changes and personal information updates.
- Manage and monitor department team training schedules, medical appointments, payroll submissions, and vacation tracking.
- Handle all administrative processes related to entertainers, including contract renewals, license applications, attendance tracking, and payment processing.
- Ensure knowledge and compliance with general food safety and hygiene regulations.
- Maintain and update outlet menus, coordinating changes, translations, and printing as needed.
- Execute any other administrative duties as assigned by the Director of F&B Operations.
- Fulfill other reasonable duties and responsibilities as directed by Management.
- Maintain strict confidentiality of sensitive information and materials.
- Represent the company in a professional, courteous, and positive manner at all times.
- Adhere to all company policies, procedures, and operational standards.
Desired Candidate Profile
- High School Diploma, GED, or vocational training
- Minimum 3 years of experience in an administrative role (preferably in Hospitality Sector).
- Proficient in Microsoft Office applications
- Strong typing and computer skills (Typing speed of 40 wpm minimum)
- Excellent written and verbal communication in English
- Strong organizational and multitasking abilities
- Familiarity with hospitality operations
- Effective communication and interpersonal skills
- Strong teamwork and collaboration
- Adaptability and flexibility in a dynamic environment
- Proactive and solution-driven mindset
- Detail-oriented with strong follow-through
- Ability to handle sensitive information with integrity and confidentiality
- Able to work under pressure and meet tight deadlines
- Awareness of EH&S best practices and compliance
