Job Description

Roles & Responsibilities

  • Manage daily office operations by organizing schedules, meetings, and appointments, ensuring executives are always prepared and informed.

  • Prepare and edit correspondence, reports, and presentations, ensuring that all documents adhere to company standards and are error-free.

  • Act as the first point of contact for visitors and clients, creating a welcoming environment and addressing inquiries with professionalism.

  • Make preparations for department / Division meetings.

  • Maintain and update electronic and paper filing systems, ensuring all documents are easily accessible and organized for quick retrieval.

  • Set up and maintain electronic filing systems for records, correspondence, and other material

  • Make preparations for department / division meetings

  • Coordinate conferences calls with vendors and arrange meetings Answer telephone call and give appropriate information to callers, take messages, or transfer calls to appropriate individuals.

  • Complete daily/ weekly/ monthly forms in accordance with department procedures and distribute meeting notes & reports.

  • Schedule and confirm appointments for clients, customers, or subordinates Establish work procedures and schedules, and keep track of the daily office activities Learn to operate new office technologies as they are developed and implemented.

  • Manage projects related documents receiving / delivering records.

  • Operate electronic mail systems and coordinate the flow of information both internally and with other departments.

Desired Candidate Profile

  • Minimum of an Associate's degree in Business Administration or a related field, providing foundational knowledge for administrative tasks.

  • 5+ years of experience in an administrative support role, showcasing familiarity with office protocols and procedures.

  • Proficient in Microsoft Office Suite, especially Excel and PowerPoint, enabling efficient data management and presentation creation.

  • Strong organizational skills with the ability to manage multiple tasks simultaneously, ensuring deadlines are consistently met.
