Job Description: Administrative Staff – Coffee Shop

We are looking for a dedicated and organized Administrative Staff member to support the daily operations of our coffee shop. The ideal candidate will ensure smooth coordination between management, staff, suppliers, and customers while maintaining accurate records and supporting business growth.

Key Responsibilities:

  • Manage daily administrative operations and office coordination

  • Maintain records, documents, and filing systems

  • Handle emails, phone calls, and internal/external communication

  • Assist with staff scheduling, attendance, and HR support

  • Support basic accounting tasks such as sales reports and cash reconciliation

  • Monitor inventory levels and coordinate with suppliers for stock orders

  • Assist in preparing invoices and tracking payments

  • Support marketing activities, including social media updates and promotions

  • Handle customer inquiries, feedback, and complaints professionally

  • Provide general support to management for daily operations

Requirements:

  • Previous experience in administration or hospitality (preferred)

  • Strong communication and organizational skills

  • Basic knowledge of MS Office (Excel, Word)

  • Ability to multitask and work in a fast-paced environment

  • Attention to detail and problem-solving skills

  • Team player with a positive attitude

Preferred Skills:

  • Experience in the café, restaurant, or retail industry

  • Must have hands-on experience in Tally software

  • Strong background in administrative roles is preferred

  • Basic Accounting Knowledge
