Job Description

Roles & Responsibilities

  • Manage the company s filing system as well as the online archiving system to ensure secure and organized record-keeping.
  • Organize meetings, coordinate appointments, schedules, and manage staff calendars.
  • Handle correspondence, complaints, and queries from clients and other parties.
  • Assist the technical team in preparing press releases, letters, presentations, rating certificates, and reports.
  • Keep reports up to date as required by the technical team.
  • Take responsibility for the upkeep of the office and facilities, including maintenance, network, and document storage areas, ensuring that appliances are in good working order.
  • Ensure health and safety policies are up to date and implemented.
  • Manage the office budget effectively and handle petty cash.
  • Assist HR with maintaining personnel records, arranging interviews.
  • Organize induction programs for new employees and facilitate the onboarding process.
  • Answer telephone calls and emails from transaction partners, clients, and regulatory bodies, directing them to the relevant staff members.
  • Plan and organize company events, conferences, and external meetings.
  • Arrange travel logistics, including flights, accommodations, hotel bookings, and car rentals for employees attending meetings or conferences.
  • Prepare, proofread, and edit reports, presentations, and other business documents with a high level of accuracy.

  • Bachelor s degree in business administration or related major.
  • Advanced level of English (C1 or C2).
  • 5-8 years of experience in an administrative role.
  • Good interpersonal and time management skills, including demonstrated ability to prioritize tasks and meet daily deadlines.
  • Basic accounting and budgeting skills.
  • Basic IT skills.
  • Excellent communication skills (verbal and written).
  • Excellent user of Microsoft package, especially Excel, PowerPoint, and Word.
  • Proficiency in business writing.
  • Ability to prioritize tasks and meet deadlines with minimal supervision.
  • Familiarity with office equipment and basic troubleshooting (printers, scanners, etc.).
  • Flexibility to adapt to changing priorities and business needs.

Desired Candidate Profile

  • Bachelor s degree in business administration or related major.
  • A business administration degree or certification such as the Certified Office Manager credential is advantageous.
  • Advanced level of English (C1 or C2).
  • 5-8 years of experience in an administrative role.
