Roles & Responsibilities
The Administrative and Commercial Operations Assistant provides administrative, operational, and commercial coordination support to HF division to ensure smooth execution of business activities across the region in a compliant manner. The role supports the GM and the commercial team
What You'll Do-
Compliance & Policy Implementation: Support the implementation of ABT compliance policies across the MEATR region by translating corporate & regulatory requirements into practical processes and ensuring activities are executed in accordance with standards
Activity Vetting & Compliance Review: Review marketing and commercial activities for compliance with local policies, ensuring promotional materials, events, and HCP engagements are validated and submitted for approval through Abbott systems
HCP Engagement Documentation: Coordinate documentation related to Healthcare Professional interactions including speaker agreements, consulting arrangements, and hospitality records ensuring compliance with company policies
Grants & Sponsorship Coordination: Support the review and coordination of grants and sponsorship requests ensuring funding is aligned with legitimate scientific and educational activities and compliant with MedTech requirements.
Financial Coordination & Budget Tracking: Support Marketing and Finance in tracking budgets and expenses including invoice processing, vendor registration, and monitoring payment status in accordance with company procedures Documentation & Record Management: Maintain accurate documentation and records for events, engagements, and activities ensuring a complete audit trail and readiness for internal compliance reviews
Third-Party Due Diligence Coordination: Coordinate third-party screening processes prior to engaging vendors, organizers, and partners ensuring alignment with Abbott ethical standards and compliance requirements.
Administrative & Operational Support: Provide administrative support including calendar management, travel coordination, meeting logistics, and operational planning for regional commercial activities
Desired Candidate Profile
Education: Bachelor's degree Years of experience.
5-7 years of relevant professional experience in administrative coordination, sales support, or commercial operations.
Any industry-specific experience needed: Experience in the healthcare, medical device, or pharmaceutical industry is preferred
Other qualifications/certifications: Strong Org & Admin coordination skills. Proficiency in MS office, ability to manage multiple priorities, strong communication & stakeholder coordination skills, high level of professionalism, attention to details, ability to handle confidential information
