Job Description

Roles & Responsibilities

  • Serve as the first point of contact for guests and clients, ensuring a warm and professional greeting that reflects the company's values.
  • Manage a multi-line phone system, directing calls efficiently and taking accurate messages to support seamless communication.
  • Coordinate the scheduling of appointments, meetings, and conference room bookings, ensuring optimal use of resources and time.
  • Maintain a clean and organized reception area, creating a welcoming environment for visitors and employees alike.
  • Handle incoming and outgoing mail and packages, ensuring timely distribution and proper documentation.
  • Assist with administrative tasks such as data entry, filing, and document preparation to support office operations.
  • Manage office supplies inventory, placing orders as needed to ensure a well-stocked and functional workspace.
  • Support the onboarding process for new employees by providing necessary resources and information during their first days.
  • Prepare and maintain reports related to visitor logs, appointment schedules, and office maintenance requests.
  • Foster a positive company culture by participating in team events and promoting a collaborative atmosphere.

Desired Candidate Profile

  • High school diploma or equivalent; an associate degree in business administration is preferred.
  • 1-3 years of experience in a receptionist or administrative role, ideally in a corporate environment.
  • Proficiency in Microsoft Office Suite and familiarity with office management software to enhance productivity.
  • Excellent verbal and written communication skills in English; proficiency in additional languages is a plus.
  • Strong organizational skills with a keen attention to detail to manage multiple tasks effectively.
  • Customer service-oriented mindset with a friendly demeanor to create positive interactions.
  • Ability to handle confidential information with discretion and maintain professionalism at all times.
  • Adaptability and problem-solving skills to address unexpected challenges in a fast-paced environment.
  • Experience with basic accounting or bookkeeping tasks is an advantage.
  • Physical ability to sit for extended periods and occasionally lift office supplies or equipment.
