Job TitleAdmissions AssistantDepartmentSupport TeamReports ToAdmissions RegistrarDirect ReportsNoMain Duties & ResponsibilitiesThis is not an exhaustive list of all duties and responsibilities.Contribute to the achievement of admissions targets.Present a warm, professional and friendly rst point of contact for new parents to positively promote the school and support the recruitment and retention of students.Monitor enquiry/applicant activity, maintain email templates and event schedules in Open Apply.Conduct school tours for assigned phase of the school.v1 06/2022Keep documented admissions procedures of the assigned school phase up to date.Ensure admissions information on the website for the assigned phase is always up to date.Create and maintain electronic admissions records and les for all prospective students, new applicants, current students and alumni.Assist with tracking and monitoring annual re-registration of students.Assist the Data Team with updating and maintaining student contact information in the MIS.Track submission of required application documents and following up with parents for missing documents.Work closely with the Arabic Secretary to ensure all Leaving Certi cates and other required documents received for new students meet the requirements of the Ministry of Education and are processed in a timely manner to meet MOE/KHDA deadlines.Plan and deliver parent and student visits and tours ensuring that the personal focus on the school is delivered.Manage and support Open Days and events ensuring that opportunities are maximised.Coordinate entrance assessments, liaising with Admissions Registrar and Leadership Team.Assist with the process of students withdrawing from the school by acknowledging withdrawal noti cations, reminding parents of the process and issuing leavers forms.Assist with walk-in, email and website admission enquiries ensuring a high quality of customer care.Attend sta meetings, marketing events and serve on committees.Be well versed in rules and regulations of the Ministry of Education (KHDA) and ensure compliance during the admission process.Work with the Marketing Team to develop admissions materials and events.Deal with matters of a con dential and sensitive nature in line with school policies.Other Duties And ResponsibilitiesAny other duties as assigned by the Admissions Registrar.Person Speci cationQuali cations and related ExperienceGood standard of education including English & Mathematics.Minimum of 2 years experience in an education, customer service or sales environment.Experience of iSAMS and Open Apply systems.Experience in general o ce administration.I.T. pro ciency including Microsoft & Google suites.Competencies: Knowledge, Skills & AbilitiesAbility to communicate clearly and e ectively, both written and verbally.Strong interpersonal skills.Planning and organising skills to anticipate, prioritise and manage a variety of tasks.Excellent attention to detail and production of accurate work.Ability to work exibly and e ectively under pressure to maintain deadlines.Ability to develop strong relationships with stakeholders.Ability to work creatively and contribute to the environment.Understanding of statutory requirements including Safeguarding, Child Protection, Equal Opportunities, Health & Safety and Inclusion.Competencies: BehaviouralCustomer focused.Ability to work collaboratively as part of a team and e ectively independently.Adaptable, approachable and empathetic.Presents drive and commitment that inspires others.High standards of dress, punctuality and attendance.Courteous and professional demeanour.Ability to work with minimal supervision and use initiative.Key RelationshipsInternalWSLT, Academic and Administration sta , students.ExternalParents, Local Government departments.Review & DeclarationThis job description is subject to review by WSLT, in collaboration with the post holder to ensure that it is kept up to date and relevant.
