What you'll be doing
- 1. Organizational:
- Follow all relevant HR policies, processes, and standard operating procedures to ensure work is carried out in a controlled and consistent manner.
- 2. Operational:
- Implement activities under minimal supervision.
- Escalate complex problems to the relevant person to ensure the case/issue is resolved efficiently and in a timely manner.
- Administer employees attendance, leaves, vacations, and overall absenteeism.
- Ensure adherence of all employees to the organization s personnel rules and regulations.
- Follow up with employees regarding medical certificates for sick leaves and out-of-office/absence forms.
- Handle all medical insurance claims and liaise with insurance companies for employee reimbursements.
- Issue and cancel access cards in accordance with security policies.
- Prepare welcome kits for new employee orientation sessions.
- Prepare absenteeism calculations for end-of-service settlements.
- Attend to employee inquiries regarding company policies and procedures.
- Handle and follow up on work visa and labor contract processes.
- Coordinate with employees and PROs (Public Relations Officers).
- Prepare, maintain, and update the necessary documentation.
- Lead the renewal processes for work visas and labor contracts.
- Process applications, renewals, and cancellations of labor cards, work permits, and residency visas.
- Schedule medical examinations for the processing of residence visas.
- Update documents according to expiry dates in the HRIMS.
- Initiate, update, and maintain employee personal data on the HRMS.
- Keep updated records of new immigration and labor legislation as communicated by the PRO and the Personnel/HR Manager.
- Prepare staff turnover reports (new hires, leavers, total headcount), and KPI reports for absenteeism.
- Update staff lists accordingly.
- Participate in relevant projects and community activities as needed.
