Job Description
Roles & Responsibilities
Manage daily administrative operations of the mall management office, ensuring smooth and efficient coordination across all functions.
Maintain accurate and up-to-date records for tenants, including trade licenses, insurance, approvals, and compliance documentation.
Monitor tenant compliance with mall policies, operational requirements, and lease obligations, escalating any non-compliance risks.
Act as the main administrative point of contact for tenants, handling queries, documentation, and coordination requirements.
Support tenant onboarding, renewals, and handover processes, ensuring all documentation and approvals are in place.
Collect and track monthly tenant sales data, ensuring accurate system entry and reporting.
Prepare correspondence, notices, circulars, and internal communications in a timely and professional manner.
Maintain organized filing systems (digital and physical) for easy access to records and documentation.
Assist in handling customer complaints and escalate issues where required to ensure resolution.
Coordinate with internal departments (FM, Leasing, Finance, Marketing, etc.) to ensure smooth mall operations.
Support mall events, promotions, and management meetings from an administrative and coordination perspective.
Manage office supplies, administrative assets, and ensure overall office readiness.
Prepare periodic reports related to tenant data, operations, and administrative performance.
Desired Candidate Profile
Bachelor’s degree in Business Administration or a related field.
Minimum 2 years of experience in administration, operations, hospitality, facilities management, or a similar environment.
Strong administrative and organizational skills with high attention to detail.
Experience handling tenant or customer coordination in a structured environment (mall, hospitality, FM, or similar).
Ability to manage documentation, compliance tracking, and reporting efficiently.
Strong communication skills (written and verbal), with the ability to deal with tenants and internal stakeholders professionally.
Proficient in Microsoft Office and comfortable working with data entry and reporting systems.
Customer-focused mindset with the ability to handle complaints and provide support effectively.
Ability to multitask, prioritize, and work in a fast-paced operational environment.
Strong sense of accountability, reliability, and ownership of tasks.
