Roles & Responsibilities
Job Summary
The COO Executive Support is responsible for providing high-level administrative, operational, and coordination support to the Chief Operating Officer (COO). The role ensures the effective management of executive priorities, business communications, reporting, and follow-up activities while supporting the successful execution of strategic and operational objectives. The position acts as a key liaison between the COO and internal and external stakeholders, ensuring seamless coordination and efficient workflow management.
Key Responsibilities
Executive Support
Provide direct administrative and operational support to the COO.
Manage the COO’s calendar, appointments, meetings, and travel arrangements.
Screen and prioritize communications, correspondence, and requests directed to the COO.
Prepare presentations, reports, business correspondence, and executive documentation.
Coordination & Follow-Up
Coordinate meetings, prepare agendas, and record meeting minutes.
Track action items and follow up with departments to ensure timely completion.
Monitor progress on key operational and strategic initiatives.
Support the COO in managing daily priorities and business commitments.
Reporting & Communication
Consolidate operational reports, dashboards, and business updates for executive review.
Maintain accurate records, files, and confidential documents.
Coordinate communication between the COO and internal/external stakeholders.
Assist in preparing management reports and board-level presentations.
Project Support
Support special projects and strategic initiatives assigned by the COO.
Assist in monitoring project milestones, deliverables, and timelines.
Coordinate cross-functional activities to ensure alignment with business objectives.
Administration & Governance
Maintain confidentiality of sensitive business information.
Ensure timely processing of approvals, documentation, and executive requests.
Support compliance with company policies and governance requirements.
Desired Candidate Profile
Bachelor's degree in Business Administration, or a related field.
Minimum 9–13 years of experience in executive support, executive administration, or office management roles.
Previous experience supporting C-suite executives is highly preferred.
Strong proficiency in Microsoft Office applications, particularly PowerPoint, Excel, and Outlook.
Highly organized and proactive professional with strong administrative and coordination skills.
Proven ability to support senior executives in fast-paced environments.
Excellent communication, interpersonal, and relationship management skills.
Strong attention to detail and ability to manage multiple priorities simultaneously.
Fluency in both English and Arabic (written and spoken) is mandatory.
