Roles & Responsibilities

Job Summary

The COO Executive Support is responsible for providing high-level administrative, operational, and coordination support to the Chief Operating Officer (COO). The role ensures the effective management of executive priorities, business communications, reporting, and follow-up activities while supporting the successful execution of strategic and operational objectives. The position acts as a key liaison between the COO and internal and external stakeholders, ensuring seamless coordination and efficient workflow management.

Key Responsibilities

Executive Support

  • Provide direct administrative and operational support to the COO.

  • Manage the COO’s calendar, appointments, meetings, and travel arrangements.

  • Screen and prioritize communications, correspondence, and requests directed to the COO.

  • Prepare presentations, reports, business correspondence, and executive documentation.

Coordination & Follow-Up

  • Coordinate meetings, prepare agendas, and record meeting minutes.

  • Track action items and follow up with departments to ensure timely completion.

  • Monitor progress on key operational and strategic initiatives.

  • Support the COO in managing daily priorities and business commitments.

Reporting & Communication

  • Consolidate operational reports, dashboards, and business updates for executive review.

  • Maintain accurate records, files, and confidential documents.

  • Coordinate communication between the COO and internal/external stakeholders.

  • Assist in preparing management reports and board-level presentations.

Project Support

  • Support special projects and strategic initiatives assigned by the COO.

  • Assist in monitoring project milestones, deliverables, and timelines.

  • Coordinate cross-functional activities to ensure alignment with business objectives.

Administration & Governance

  • Maintain confidentiality of sensitive business information.

  • Ensure timely processing of approvals, documentation, and executive requests.

  • Support compliance with company policies and governance requirements.

Desired Candidate Profile

  • Bachelor's degree in Business Administration, or a related field.

  • Minimum 9–13 years of experience in executive support, executive administration, or office management roles.

  • Previous experience supporting C-suite executives is highly preferred.

  • Strong proficiency in Microsoft Office applications, particularly PowerPoint, Excel, and Outlook.

  • Highly organized and proactive professional with strong administrative and coordination skills.

  • Proven ability to support senior executives in fast-paced environments.

  • Excellent communication, interpersonal, and relationship management skills.

  • Strong attention to detail and ability to manage multiple priorities simultaneously.

  • Fluency in both English and Arabic (written and spoken) is mandatory.
