Job Description
Roles & Responsibilities
Responsibilities
- Responsible for full administrative support to the Crewing Department in all aspects of Crew Management of seafarers engaged on board Astro vessels.
- Responsible to ensure all crew documents are properly filed and vetted, effectively working closely with the Manning agent.
- Maintaining an effective and user-friendly document control system for recording and tracking purposes.
- Ensuring day-to-day crew operation and crewing support are met consistently and facilitate a good working environment and interaction between agents and office.
- Efficiently coordinate and execute any crewing related tasks instructed by the Crewing Department.
- Application and submission of Crew Flag Endorsements - knowledge and experience with application and submission for MPA Singapore, Marshall Islands, Panama etc. is a must.
- Arranges Visa LOI application.
- Arranges crew entry and exit visas.
- Arrange travel bookings for on signer and off signer.
- Medical and Training bookings.
- Assist on all crewing issues.
Perform ad-hoc duties:
- Check all incoming Invoices and ensure entries are recorded through an accounting software.
- Raise POs in a timely manner.
- Coordinate with Accounts on final approved POs to ensure records are in place.
- Arrange delivery on board the vessel for any crew related matters - Crew Document, Certificates, and others.
- Effectively liaise with other departments when required.
Skills and Experience
- Must have prior experience and exposure on Crewing for Marine industry. Oil and Gas is preferred.
- Experience in handling crew matters in Middle East is an advantage.
- Minimum 2 years of crewing experience is preferred.
- Strong knowledge on MLC 2006, crew's competency, STCW requirements, Flag State requirements and other vessel crew matters.
- Strong organisational skills and excellent attention to detail.
- Highly efficient, tactful, adaptable, and resourceful in dealing with all crew matters.
- Ability to work independently and able to quickly identify pros and cons whilst making reasonable and measured decisions.
- Ability to handle pressure on a frequent basis.
- Strong communication and written skills.
- Fluent in both spoken and written English.

- Minimum Bachelor's or Undergraduate Degree-holder from University or College

This role involves coordinating crew documentation, visa applications, travel arrangements, medical and training bookings, crew endorsements, and providing full administrative support across all crew management activities.
The ideal candidate will have prior crewing experience within the marine industry, strong organisational and communication skills, and the ability to work efficiently in a fast-paced environment while ensuring compliance with MLC 2006, STCW, and Flag State requirements.
