Job Description
Roles & Responsibilities
Job Purpose The PLM Data Migration Specialist is responsible for planning, governing, and executing the migration of historic project information into the PLM source systems in a controlled and auditable manner. The role ensures legacy information is correctly classified, indexed, quality checked, and loaded into the appropriate PLM repositories and workflows so the PLM platform becomes the single source of truth. This role leads a team of Document Controllers performing the hands-on migration work, ensures migration activities align to governance and evidence requirements (metadata, naming conventions, completeness rules), and delivers migration waves aligned to release/cutover milestones. The role is accountable for migration accuracy, completeness, traceability, and readiness sign-off. Scope This role covers migration of historic and unstructured data into PLM source systems, including (as applicable): Document migration and indexing into controlled document repositories (e.g., ACC Docs, Unifier document structures). Structured data capture from spreadsheets/registers into system records (e.g., Unifier logs/registers, vendor evaluation history, contract registers). Metadata and classification (naming conventions, document types, attributes, project/asset linkage, confidentiality classification). Data cleansing and deduplication of legacy records. Migration wave planning: pilot loads, iterative loads, cutover loads, and reconciliation. Management of Document Controllers, ensuring productivity, quality, and standard methods. The role spans the delivery lifecycle stages where migration is required: design, build, test (migration testing), deploy/cutover, hypercare support, and continuous improvement. Principal Accountabilities Migration Strategy & Governance (Historic/Unstructured) Define and maintain the historic data migration strategy (what migrates, what is archived, and what is referenced only). Establish migration rules: document classification, metadata requirements, naming conventions, version handling, and evidence expectations. Ensure migration approach aligns to Business Excellence governance, audit requirements, and PLM standards. Migration Planning & Wave Execution Develop migration plans by system/domain/project phase, including migration waves, dependencies, and readiness gates. Coordinate migration execution across environments where applicable (staging areas, test loads, production cutover loads). Maintain migration runbooks including sequencing, checkpoints, validation steps, and rollback/contingency approach. Legacy Data Assessment, Cleansing & Preparation Lead legacy data discovery and assessment (sources, formats, owners, quality). Define cleansing rules and execute deduplication, standardisation, and remediation pathways. Identify missing or ambiguous legacy records and drive resolution with business owners. Document Control & Indexing Discipline Ensure migrated documents are correctly filed, indexed, version-controlled, and linked to the right project/asset/contract/vendor record. Enforce confidentiality controls and controlled access rules for sensitive commercial and project information. Ensure evidence is complete and audit-ready (correct templates, signatures, approvals, stamps where required). Structured Data Capture into Systems Oversee translation of legacy registers/spreadsheets into structured system records (logs/registers/forms). Ensure validation rules and mandatory fields are met (no empty migration that breaks reporting/governance). Ensure records are linked correctly and consistent with master/reference data standards. Quality Assurance, Reconciliation & Sign-off Define and execute migration QA controls: sampling, completeness checks, metadata checks, reconciliation against source inventories. Produce migration sign-off packs showing what migrated, what did not, exceptions, and business impacts. Support SIT/UAT by providing migrated test data and fixing migration defects. Team Leadership – Document Controllers Manage 5 Document Controllers, including workload allocation, methods, productivity, and quality control. Provide training, SOPs, templates, and checklists for consistent migration execution. Run daily/weekly migration progress reviews; remove blockers and enforce standards. Cutover & Hypercare Support Execute cutover migration activities (final loads, freeze windows, verification). Support hypercare by addressing migration-related issues (missing documents, incorrect metadata, linkage defects) through controlled remediation. Continuous Improvement Identify recurring migration issues and improve SOPs, templates, tooling, and controls. Maintain migration lessons learned and improve readiness for future migrations and new domains.
