Job Description

Roles & Responsibilities

Key Responsibilities:

Document Management

  • Maintain and organize all incoming and outgoing project documents.

  • Ensure proper filing (electronic and hard copy) in line with company standards.

  • Control document numbering, sorting, filing, and retrieval.

Document Control System

  • Manage document control systems (e.g., Aconex, EDMS).

  • Ensure all documents are up-to-date and accessible to relevant stakeholders.

  • Track revisions and maintain version control of drawings and documents.

Coordination & Distribution

  • Distribute documents to project teams, consultants, and subcontractors.

  • Ensure timely submission and receipt of documents.

  • Liaise with engineers, project managers, and external parties.

Compliance & Quality Assurance

  • Ensure documents comply with company standards and project requirements.

  • Maintain confidentiality and security of sensitive information.

  • Support audits by providing required documentation.

Reporting

  • Generate reports on document status, delays, and outstanding submissions.

  • Maintain logs (e.g., transmittals, RFIs, submittals, drawing registers).

Archiving

  • Archive completed project documents in accordance with company policies.

  • Ensure proper handover documentation at project completion.

Desired Candidate Profile

Required Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Engineering, or related field.

  • Proven experience as a Document Controller in construction or engineering projects.

  • Familiarity with document control software (e.g., Aconex, SharePoint, EDMS).

  • Strong knowledge of document management processes.

Key Skills:

  • Excellent organizational and time management skills

  • Attention to detail and accuracy

  • Strong communication and coordination skills

  • Proficiency in MS Office (Word, Excel)

  • Ability to work under pressure and meet deadlines
