Job Description

A Document Controller plays a crucial role in the organization by ensuring that all corporate documents are maintained in the correct order and stored efficiently. This key position is responsible for the filing, archiving, retrieving, and disposal of both electronic and hardcopy documents. Document Controllers serve as the gatekeepers for data, guaranteeing that it is accurate, accessible, and secure. They are involved in supervising document processes, maintaining databases, and assisting teams with their document management requirements. The role also involves implementing comprehensive management systems and maintaining version control to ensure regulatory compliance. The ideal candidate should possess strong organizational skills, meticulous attention to detail, and the ability to handle documentation in a fast-paced environment.


Responsibilities
  • Ensure that all documents are filed correctly, efficiently, and maintained securely.
  • Develop and implement document management systems and procedures.
  • Maintain an accurate record of all electronic and physical documents.
  • Provide administrative support in the management of document schedules.
  • Control access to documents and ensure compliance with regulatory requirements.
  • Facilitate the retrieval of documents by authorized personnel upon request.
  • Conduct regular audits of document systems to ensure reliability and accuracy.
  • Ensure document data remains accurate and up-to-date by managing version control.
  • Collaborate with various departments to streamline document-related activities.
  • Maintain a document master list and track any amendments made to documents.
  • Provide training and support to staff on document management systems.
  • Ensure confidentiality of sensitive and proprietary documents and information.

Requirements
  • Bachelor's degree in information management, administration, or a related field.
  • Proven experience as a Document Controller or in a similar position.
  • Strong understanding and knowledge of document management software systems.
  • Excellent organizational skills and attention to detail are highly required.
  • Ability to manage large volumes of electronic and physical documents efficiently.
  • Effective communication skills to interact with internal and external stakeholders.
  • Ability to work independently and prioritize tasks under tight deadlines.
