Job Description
Roles & Responsibilities
- Maintain, organize, and control all project and company documents in both electronic and physical formats.
- Monitor and track document expiry dates (licenses, permits, contracts, IDs, certificates, etc.) and send timely reminders.
- Ensure all documentation is updated, accurate, and compliant with company standards.
- Create and maintain document logs, registers, and databases using Excel.
- Prepare reports, trackers, and dashboards using advanced Excel functions.
- Receive, review, register, and distribute incoming documents to relevant departments.
- Conduct regular audits of documentation to ensure completeness and data accuracy.
- Manage document confidentiality and ensure restricted files are stored securely.
- Coordinate with internal teams and external stakeholders regarding document submission and updates.
- Assist with other administrative tasks related to document control and project support.
Desired Candidate Profile
- Bachelor’s Degree or Diploma in Business Administration, Management, or related field.
- Proven experience as a Document Controller or Administrative Coordinator.
- Strong proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, Data Validation, Conditional Formatting, etc.).
- Excellent organizational skills and high attention to detail.
- Ability to track deadlines, document expiry dates, and follow up proactively.
- Good communication skills and ability to work under minimal supervision.
- Familiarity with document control systems or EDMS is an added advantage.
