Job Description

Roles & Responsibilities

  • Maintain, organize, and control all project and company documents in both electronic and physical formats.
  • Monitor and track document expiry dates (licenses, permits, contracts, IDs, certificates, etc.) and send timely reminders.
  • Ensure all documentation is updated, accurate, and compliant with company standards.
  • Create and maintain document logs, registers, and databases using Excel.
  • Prepare reports, trackers, and dashboards using advanced Excel functions.
  • Receive, review, register, and distribute incoming documents to relevant departments.
  • Conduct regular audits of documentation to ensure completeness and data accuracy.
  • Manage document confidentiality and ensure restricted files are stored securely.
  • Coordinate with internal teams and external stakeholders regarding document submission and updates.
  • Assist with other administrative tasks related to document control and project support.

Desired Candidate Profile

  • Bachelor’s Degree or Diploma in Business Administration, Management, or related field.
  • Proven experience as a Document Controller or Administrative Coordinator.
  • Strong proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, Data Validation, Conditional Formatting, etc.).
  • Excellent organizational skills and high attention to detail.
  • Ability to track deadlines, document expiry dates, and follow up proactively.
  • Good communication skills and ability to work under minimal supervision.
  • Familiarity with document control systems or EDMS is an added advantage.
