Job Description

Roles & Responsibilities

KEY RESPONSIBILITIES:

  • Receive and log invoices, payment certificates, and technical documents from consultants, contractors, and vendors.
  • Verify formatting and compliance requirements before uploading to the document management system (e.g., SharePoint, Tjori).
  • Maintain document logs, manage version control, and ensure timely circulation of documents in accordance with Delegation of Authority (DOA).
  • Coordinate review and approval workflows across internal departments and external stakeholders.

Project Support

  • Attend site meetings and prepare minutes.
  • Assist project teams (design, engineering, MEP) with document-related tasks and contract administration.
  • Draft letters and formal responses as required.

Project Closeout

  • Collect final project documentation such as as-built drawings, warranties, and guarantees.
  • Cross-check submissions against handover checklists and submit to the Asset Management Support Services (AMSS) team.
  • Support snagging and final account documentation processes.

Asset Management

  • Conduct inventory checks of unused on-site materials and manage asset transfer documentation.
  • Coordinate approvals from business owners in line with DOA requirements.

Desired Candidate Profile

QUALIFICATIONS & EXPERIENCE:

  • Education: Diploma in a related field is required; a Bachelor's degree is preferred.
  • Experience: 2-5 years of relevant experience in document control, ideally within construction, engineering, or real estate development.
  • Systems Knowledge: Proficiency in document control platforms such as Open Text, Oracle Primavera Unifier, SharePoint, Tjori, or equivalent systems.

Key Skills:

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Proficient in written and verbal communication.
  • Familiarity with regulatory documentation standards and quality management systems.
  • Commitment to maintaining confidentiality and information integrity.
