Job Description

Roles & Responsibilities

  • Oversee and control the Construction Projects and Maintenance contractors' Documents, Submittals, and Correspondences, ensuring adherence to Document Control and Numbering procedures.

  • Proficiency in English and Arabic in writing letters to the official authorities is a must.

  • Prepare and manage the Microsoft Teams and SharePoint Directory structure and control user-specific access rights for the projects.

  • Manage and maintain all project documentation, ensuring accuracy, quality, and compliance with company standards and industry regulations.

  • Organize and maintain electronic and paper filing systems, ensuring easy retrieval of documents.

  • Create and format professional presentations and reports for internal and external stakeholders.

  • Provide comprehensive administrative support to the project team, including scheduling meetings, preparing agendas, and taking minutes.

  • Prepare Arabic / English letters to various stakeholders, internal and external.

  • Review, compile, and process documents for internal approvals, ensuring adherence to the Section's policies and procedures.

  • Prepare procurement requests, both Capex & Revex, with accurate cost allocations.

  • Ensure all documentation follows legal and regulatory requirements.

  • Serve as a liaison between project teams, clients, and contractors, ensuring clear and effective communication in both Arabic and English.

  • Assist in coordinating project activities and ensuring timely completion of tasks.

Desired Candidate Profile

  • Hands-on Experience in Web based DBMS and familiarity with Document Control Management Systems.
  • Experience in computers and filing system management.
  • Good written and verbal communication skills.
  • Familiarity with email drafting, letters and types of computer files.
  • Proven problem-solving skills.
  • Strong command of both Arabic and English languages.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
  • Exceptional attention to detail and organizational skills.
  • Strong interpersonal skills with ability to work effectively in a team environment.
