Roles & Responsibilities

Job Description:

We are seeking a Document Controller to join our team in Duqm. The successful candidate will be responsible for managing, organizing, and maintaining all project and office documentation in compliance with company standards and client requirements. This role is essential to ensure that accurate and up-to-date records are available for operational, technical, and compliance purposes.

Key Responsibilities:

  • Manage and control all incoming and outgoing documents, including correspondence, technical documents, drawings, contracts, and reports.
  • Ensure proper filing, indexing, and retrieval of records in both physical and electronic formats.
  • Maintain the Document Management System (DMS) to ensure accuracy, accessibility, Confidentiality, integrity of sensitive data, and security of records.
  • Distribute controlled copies of documents to appropriate departments and personnel.
  • Track the status of documents through registers and logs to ensure timely reviews, approvals, and submissions.
  • Ensure that obsolete documents are promptly removed from circulation and archived according to procedures.
  • Assist in preparing reports, presentations, and project documentation as required by management.
  • Support audits and inspections by providing accurate documentation when requested.
  • Coordinate with internal departments and external stakeholders to ensure proper documentation flow.
  • Promote compliance with company standards and contribute to improving document control processes.

Desired Candidate Profile

Job Requirements:

  • Applicant must be Omani national.
  • Diploma in Business Administration, Information Management, Engineering or related field is a mandatory.
  • Previous experience in document control is preferred, but fresh graduates with a strong academic record (minimum GPA 3.0) will also be considered.
  • Strong organizational skills and high attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with document management systems.
  • Fluency in Arabic and English (written and verbal).
  • Strong communication skills and ability to work effectively with cross-functional teams.
  • Ability to handle confidential information with integrity.
