Job Description
Roles & Responsibilities
Policies and Procedures:
Performing tasks related to incoming and outgoing mail in accordance with the approved Document Management Manual (Mail Centralization) and the policies in force within the Company.
Delivering incoming mail to the relevant departments in the Company, keeping copies thereof, directing outgoing mail to the addressed parties, and keeping copies thereof.
Assisting other Company departments in obtaining copies of outgoing and incoming mail.
Participating in the preparation, review, and updating of the Document Management Manual in coordination with the relevant authorities.
Arranging, storing, and organizing access to intermediate records.
Sorting intermediate records and transferring necessary ones to the relevant authorities (such as the Records and Archives Authority) according to the Company's approved manual.
Submitting all documents on time and according to quality standards.
Following and maintaining the Company's correspondence and documents system.
Protecting documents from loss or damage and preparing the necessary receipt forms.
Adhering to the retention schedule for documents and records, and knowing the appropriate methods and times for document transfer, migration, and destruction, according to the Company's approved manual.
Maintaining confidentiality regarding sensitive information and the Company's agreement terms.
Providing technical support to Company employees for applying the established rules and regulations for document management.
Implementing document management work in the electronic system approved by the relevant authorities.
Reporting risks and events that occur in the department to the direct manager.
Providing necessary support and performing any other tasks assigned by the direct manager within the scope of work.
Reports:
Preparing periodic reports on the department's achievements and the challenges it faces, developing suggestions for their improvement, and submitting them to the direct manager.
