Job Description

As an Events Coordinator, you will play a pivotal role in the successful planning and execution of a variety of events, including conferences, seminars, weddings, expos, and corporate gatherings. You will be the key point of contact for clients, suppliers, and internal staff, ensuring all aspects of event planning are seamless and efficient. Your responsibilities will include everything from conceptualizing the event, managing logistics, coordinating with vendors, overseeing budgeting, and executing on-site actions, all while maintaining the highest standards of professionalism and customer service. The ideal candidate is a highly organized individual with a keen eye for detail and a passion for events and hospitality, thriving in fast-paced environments while maintaining a calm, can-do attitude.


Responsibilities
  • Coordinate and oversee all aspects of event planning and logistics.
  • Develop and manage relationships with clients, vendors, and partners.
  • Prepare detailed event budgets and manage expenses efficiently.
  • Work collaboratively with marketing teams to promote events effectively.
  • Manage on-site event operations, including setup, execution, and breakdown.
  • Ensure compliance with all health and safety regulations during events.
  • Provide exceptional customer service and address any client concerns promptly.
  • Prepare event materials such as signage, programs, and promotional items.
  • Negotiate with vendors to secure agreements and favorable terms.
  • Conduct post-event evaluations and report on outcomes and metrics.
  • Maintain an up-to-date knowledge of event trends and technologies.
  • Utilize project management software to streamline event planning processes.

Requirements
  • Bachelor's degree in Event Management, Hospitality, or a related field.
  • Minimum of two years experience in event planning or coordination.
  • Strong organizational skills and a keen attention to detail are essential.
  • Excellent communication skills, both written and oral, required.
  • Proven ability to handle multiple projects and deadlines simultaneously.
  • Proficiency with event management software and Microsoft Office Suite.
  • Experience in negotiating contracts and working with vendors preferred.
  • Demonstrated ability to remain calm under pressure and problem-solve.
