Job Overview
The Exam Officer / Data Manager will be responsible for the planning, administration, and coordination of all school examinations and assessments, as well as the management of the school s academic data systems. This includes liaising with staff, students, parents, and external bodies to ensure compliance with all examination regulations, safeguarding assessment integrity, and producing accurate reports for internal and external stakeholders. The role also plays a key part in preparing and presenting assessment and performance data to support school accreditation and KHDA inspections. The ideal candidate will have strong ICT and data management skills, exceptional attention to detail, and the ability to work effectively under pressure and to deadlines.
Key Responsibilities
- Plan, coordinate, and oversee the administration of all internal and external examinations in compliance with awarding body regulations and KHDA requirements.
- Prepare and distribute examination timetables, seating plans, and invigilation schedules.
- Liaise with heads of department, teachers, and external exam boards to ensure accurate entry and registration of candidates.
- Manage the secure storage and distribution of examination papers and materials.
- Train, supervise, and manage exam invigilators.
- Ensure all assessment results are processed accurately and issued to students within agreed timelines.
- Maintain, update, and manage the school s data management systems (e.g., attendance, academic tracking, assessment records).
- Produce accurate, timely data analysis and reports to support school leadership in decision-making.
- Compile and present relevant academic performance data, attendance statistics, and progress measures for accreditation and inspection processes.
- Ensure compliance with data protection and confidentiality requirements.
- Support the Senior Leadership Team with data for inspections, accreditation documentation, and school improvement planning.
- Bachelor s degree in Education, Administration, ICT, or a related field.
- Minimum of 3 years experience in exam administration and/or school data management (experience in an American curriculum school is an advantage).
- Strong ICT skills, including proficiency in Microsoft Excel, school management systems, and data analysis tools.
- Excellent planning, organizational, and communication skills.
- Proven ability to work under pressure, meet strict deadlines, and manage multiple tasks simultaneously.
- High attention to detail and commitment to accuracy.
- Knowledge of KHDA regulations and accreditation requirements is an advantage.
