Job Description
Roles & Responsibilities
The primary duties and responsibilities of this role are:
- Manage the VP s calendar, schedule meetings, and coordinate travel arrangements with accuracy, efficiency, and confidentiality.
- Prepare, review, and edit correspondence, reports, presentations, and operational documents for internal and external stakeholders.
- Serve as the primary point of contact between the VP and internal teams, external partners, vendors, and regulatory authorities.
- Coordinate executive and departmental meetings, including agenda preparation, minute taking, and follow up on action items.
- Handle confidential and sensitive information with the highest level of discretion, maintaining secure and organized filing systems.
- Support the VP in tracking departmental projects, event timelines, budgets, and deliverables.
- Liaise with senior leadership across Event Operations, including Catering & Events, Special Events, Guest Services, and supporting departments to ensure smooth communication and alignment.
- Organize and support VIP visits, site inspections, pre opening walkthroughs, and executive level event engagements.
- Proactively anticipate the needs of the VP and provide solutions that enhance operational efficiency and executive effectiveness.
- Coordinate logistics for large scale events, pre opening activities, and cross departmental initiatives as required.
Desired Candidate Profile
Bachelor s degree in Business Administration, Hospitality Management, Communications, or a related field preferred.
Minimum of 3 5 years of experience supporting senior leadership, preferably within hospitality, events, luxury environments, or large scale operations.
Exceptional organizational skills with the ability to manage multiple priorities in a fast paced environment.
Strong written and verbal communication skills with the ability to interact professionally at all levels.
Strong problem solving skills and the ability to anticipate needs and take initiative.
Experience coordinating events, logistics, or operational workflows is an advantage.
Ability to work flexible hours based on business and event needs.
