Job Description

Roles & Responsibilities

  • Manage and prioritize incoming communications (emails, phone calls, and correspondence) on behalf of C-level executives, ensuring timely and appropriate responses.
  • Coordinate complex calendar schedules, organize executive meetings, and take detailed minutes, clearly documenting action items and follow-ups.
  • Review and approve client and partnership contracts via DocuSign, ensuring terms comply with Saudi Labor Law, internal policies, and executive directives before final execution.
  • Approve bank loan letters for employees of client companies, ensuring accuracy and compliance.
  • Handle highly sensitive information with the utmost confidentiality and professionalism.
  • • Review, process, and approve purchase orders and internal requests using SAP, adhering to approval authority levels.
  • Serve as a liaison between C-level executives and internal departments, fostering effective communication and coordination.
  • Arrange and manage complex travel itineraries, including flights, accommodations, and visas, ensuring smooth logistics for executive travel.
  • Demonstrate excellent multitasking and time-management skills, capable of managing shifting priorities under tight deadlines.
  • Remain available and responsive outside regular working hours, as required by executive needs.
  • Adapt to rapidly changing demands and maintain a positive, collegial demeanor under pressure.
  • Perform various ad hoc tasks and executive-level administrative assignments as requested.

Desired Candidate Profile

  • Proven experience supporting C-suite or senior executives in a fast-paced corporate environment.
  • High proficiency in Microsoft Office Suite, SAP systems, and DocuSign.
  • Strong understanding of corporate governance and knowledge of Saudi Labor Law is preferred.
  • Excellent written and verbal communication skills in English (Arabic is an advantage).
  • Exceptional organizational, time-management, and prioritization skills.
  • High level of professionalism, discretion, and judgment.
  • Ability to work independently with minimal supervision and make decisions on behalf of executives when needed
