Position Title:
Export & Logistics Executive (Sales Coordination)
Department:
Sales & Marketing - Exports Division
Reporting To:
- Initially: Finance Director
- Subsequently: Export Director / Export Manager
Position Overview:
The Export & Logistics Executive will play a pivotal role in supporting Camelicious' international sales operations by managing end-to-end export documentation, logistics coordination, and order fulfilment. This position ensures smooth communication between internal teams (Finance, Production, QA, Warehouse, Marketing) and external stakeholders (distributors, freight forwarders, and regulatory bodies), upholding the company's reputation for compliance, service excellence, and timely delivery across all global markets.
Key Responsibilities
1. Export Sales Coordination
- Serve as the primary point of contact between internal departments and overseas distributors for all export order-related queries.
- Coordinate order processing from quotation to shipment ensuring accuracy, timely approvals, and compliance with export regulations.
- Prepare Proforma Invoices, Sales Contracts, and track order confirmations aligned with approved credit and pricing policies.
- Liaise with QA and Production for product readiness, shelf-life coordination, and export batch labelling requirements.
- Ensure coordination with Marketing for export-specific branding, product artwork, and bilingual label approvals (Arabic/English/target market).
2. Export Documentation & Compliance
- Prepare and verify complete export documentation (Commercial Invoice, Packing List, COO, Health Certificate, Halal Certificate, and other country-specific documents).
- Liaise with Dubai Chamber, MOCCAE, and other relevant authorities for attestation and regulatory clearance.
- Coordinate with Finance for invoice generation, payment tracking, LC/TT documentation, and alignment with company DOA and Finance SOPs.
- Maintain a systematic export documentation archive for audit readiness and compliance.
3. Logistics & Shipment Management
- Coordinate with shipping lines, freight forwarders, and customs agents for cost-effective and timely shipment execution (Air/Sea/Land).
- Track shipments and ensure pre-alerts, BL draft approvals, and timely dispatch of original documents to customers/banks.
- Validate shipping invoices and claims (freight, insurance, demurrage, etc.) in coordination with Finance and Procurement teams.
- Maintain shipment tracker covering container details, destination, delivery status, and post-shipment follow-ups.
- Ensure adherence to export packaging, temperature control, and storage conditions for perishable dairy products.
4. Financial Coordination
- Align with Finance for advance payments, credit control, LC documentation, and reconciliation of export receivables.
- Support the Finance Director in periodic export sales reports, revenue recognition, and margin analysis.
- Monitor foreign exchange implications and ensure cost optimization in freight and logistics arrangements.
5. Cross-Functional & System Integration
- Work closely with HR, IT, and Finance teams during HRMS/ERP implementation to integrate export and logistics modules.
- Ensure adherence to internal control policies, Delegation of Authority (DOA), and export SOPs as approved by management.
- Contribute to the development of dashboards and trackers for export sales performance, shipment status, and customer fulfilment KPIs.
6. Customer & Stakeholder Management
- Maintain a professional relationship with global distributors, customs agents, and freight partners.
- Coordinate customer satisfaction surveys and resolve shipment-related complaints or discrepancies with speed and accuracy.
- Support the Export Director/Manager in organizing trade shows, export promotions, and business delegation visits.
Key Deliverables
- Zero error in export documentation and timely shipment execution.
- On-time coordination of all regulatory approvals (MOCCAE, Chamber, Halal, etc.).
- Efficient communication between internal teams ensuring 100% fulfilment of confirmed export orders.
- Up-to-date export sales trackers and MIS reports for Finance and Management review.
- Demonstrated cost savings and efficiency improvements in logistics and shipping processes.
Skills & Competencies
- Strong knowledge of export documentation, Incoterms, customs regulations, and LC/TT transactions.
- Proficiency in MS Excel, ERP/HRMS systems (preferably Magnar, Zeta, or SAP).
- Excellent communication and coordination skills across multi-functional teams.
- Attention to detail and accuracy in documentation.
- Strong time management and ability to handle multiple shipments concurrently.
- Knowledge of dairy/FMCG export processes is a strong advantage.
Qualifications & Experience
- Bachelor's Degree in Business Administration, International Trade, or related field.
- Minimum 3 - 5 years of experience in Export Operations / Sales Coordination / Logistics within FMCG or Food & Beverage industry.
- Experience in Middle East, GCC, or Asia export markets preferred.
- Familiarity with UAE and GCC regulatory frameworks for food exports.
Workplace & Reporting
- Location: Camelicious Office, Dubai (with frequent coordination with Plant, QA, and Finance).
- Working Hours: As per company policy.
- Reports To: Finance Director (initial phase); Export Director / Export Manager (post-transition).
