Job Description

Roles & Responsibilities

Office Administration & Operations

  • Welcome visitors and direct them to the relevant personnel
  • Handle clerical duties: phone calls, correspondence, memos, presentations, and travel bookings
  • Maintain and organize office files including job files, vendor files, and company records
  • Track, purchase, and manage office supplies, equipment, and furniture
  • Oversee maintenance of office facilities and equipment
  • Coordinate office activities to ensure efficiency and compliance with company policies
  • Submit timely reports and plans related to role duties

Finance & Bookkeeping Support

  • Perform basic bookkeeping tasks: invoicing, bills, budget tracking, and collections

HR & People Operations

  • Manage the full recruiting and hiring process: job requirements, sourcing, shortlisting, testing, and interview coordination
  • Prepare and run employee orientation and onboarding/offboarding programs
  • Update and maintain HR systems, records, and reports with accurate employee data
  • Support staff management: attendance, timesheets, time-off, and compliance to policies
  • Ensure daily/weekly team reports are submitted on time
  • Set employee KPIs with management, conduct periodic evaluations and reporting
  • Manage learning and development plans across teams and follow up on compliance
  • Support implementation of new processes and ensure they are well communicated and followed

Desired Candidate Profile

Qualifications

  • 2+ years of office administration or executive assistant experience, ideally in a professional services environment
  • Hands-on experience with HRMS platforms
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Comfortable handling confidential information with discretion
  • Strong attention to detail and ability to prioritize and deliver on time
  • Excellent communication and organizational skills
