Job Description
Roles & Responsibilities
Office Administration & Operations
- Welcome visitors and direct them to the relevant personnel
- Handle clerical duties: phone calls, correspondence, memos, presentations, and travel bookings
- Maintain and organize office files including job files, vendor files, and company records
- Track, purchase, and manage office supplies, equipment, and furniture
- Oversee maintenance of office facilities and equipment
- Coordinate office activities to ensure efficiency and compliance with company policies
- Submit timely reports and plans related to role duties
Finance & Bookkeeping Support
- Perform basic bookkeeping tasks: invoicing, bills, budget tracking, and collections
HR & People Operations
- Manage the full recruiting and hiring process: job requirements, sourcing, shortlisting, testing, and interview coordination
- Prepare and run employee orientation and onboarding/offboarding programs
- Update and maintain HR systems, records, and reports with accurate employee data
- Support staff management: attendance, timesheets, time-off, and compliance to policies
- Ensure daily/weekly team reports are submitted on time
- Set employee KPIs with management, conduct periodic evaluations and reporting
- Manage learning and development plans across teams and follow up on compliance
- Support implementation of new processes and ensure they are well communicated and followed

Desired Candidate Profile
Qualifications
- 2+ years of office administration or executive assistant experience, ideally in a professional services environment
- Hands-on experience with HRMS platforms
- Proficient in MS Office (Word, Excel, PowerPoint)
- Comfortable handling confidential information with discretion
- Strong attention to detail and ability to prioritize and deliver on time
- Excellent communication and organizational skills
