House Manager – Job Description Outline (Private Family)

Position Overview

  • Oversee daily household operations, ensuring that all tasks are completed efficiently, from cleaning schedules to maintenance coordination.
  • Manage household budgets, track expenses, and optimize spending without compromising quality or service.
  • Supervise and train domestic staff, ensuring adherence to household standards and fostering a positive working environment.
  • Act as the primary point of contact for vendors and service providers, negotiating contracts and ensuring timely service delivery.
  • Plan and execute events and gatherings, handling logistics from catering to décor, while maintaining a welcoming atmosphere.
  • Maintain an organized inventory of household supplies and equipment, ensuring all items are readily available and in good condition.
  • Implement and uphold security protocols to ensure the safety and privacy of the household and its occupants.
  • Assist with personal tasks for family members, including scheduling appointments, managing travel itineraries, and running errands.
  • Stay informed about household technology and systems, troubleshooting issues and coordinating repairs when necessary.
  • Foster a sense of community within the household, promoting harmony and open communication among staff and family members.

A. Household Management

  • Oversee daily operations of the residence

  • Train staff to luxury hotel standards
  • Monitor grooming, behavior, and performance

C. Family Support

  • Ensure family members’ needs, preferences, and schedules are met
  • Manage guest preparation and hospitality
  • Maintain confidentiality and privacy protocols

D. Housekeeping Excellence

  • Daily inspections of all rooms
  • Linen care, wardrobe organization, turn-down standards
  • Inventory management (cleaning materials, toiletries, supplies)

E. Maintenance & Vendors

  • Report and track repairs
  • Coordinate with contractors and service providers
  • Oversee upkeep of home systems and appliances

F. Administrative Duties

  • Maintain household logs, checklists, and schedules
  • Manage petty cash, purchasing, and expense records
  • Provide updates to the Family Office / Principal
