Job Description
Roles & Responsibilities
The role holder is responsible for providing comprehensive administrative and clerical support to the Recruitment & On-boarding Section. The role assists the Senior HR Supervisor and HR Supervisor in executing day-to-day recruitment and onboarding activities, including documentation, coordination, data entry, and communication with candidates and internal stakeholders. This position ensures that all administrative processes related to recruitment and onboarding are completed efficiently, accurately, and in accordance with company policies and procedures.
Key Accountabilities:
Provide administrative assistance in posting job advertisements, scheduling interviews, preparing interview materials, and coordinating logistics with departments and candidates.
Handle the collection, verification, and filing of candidate applications, resumes, and recruitment documentation. Ensure all records are accurately maintained in both physical and digital formats.
Maintain and update recruitment databases, candidate trackers, and onboarding status reports to ensure data integrity and timely access to accurate information.
Assist in the preparation of offer letters, joining forms, employee ID requests, medical checks, and other onboarding formalities under the direction of the Senior HR Supervisor.
Communicate with candidates regarding interview schedules, document submission, and joining instructions, ensuring professionalism and timely follow-up at all stages of the process.
Support in compiling recruitment and onboarding reports, statistics, and status updates as required by supervisors for management review.
Coordinate with internal departments, travel office, and medical to facilitate candidate mobilization and onboarding arrangements.
Ensure that all administrative tasks are carried out in line with company policies, recruitment procedures.
Provide logistical and clerical support during mass recruitment or project hiring campaigns as directed by the Senior HR Supervisor.
Desired Candidate Profile
Diploma in relevant field from a reputed University.
Minimum of 4-6 years of experience in HR with proven experience in managing end-to-end recruitment processes, including large-scale project mobilization and international sourcing.
Experience in onboarding program execution, and working on HR systems (e.g., Applicant Tracking Systems or HRIS platforms).
