Job Description

Roles & Responsibilities

Key Responsibilities:

  • Maintain and archive personnel records for all IOCC employees, including current and newly joined staff.
  • Archive and track training records, qualifications, and certifications for IOCC personnel.
  • Monitor training validity and expiry dates and provide timely notifications to relevant stakeholders.
  • Ensure all personnel and training documentation is complete, accurate, and readily retrievable for audits or inspections.
  • Record, monitor, and track expiry dates for all controlled IOCC documents.
  • Maintain an organized document tracking system (manual or digital) to ensure validity and compliance at all times.
  • Escalate upcoming or overdue document expiries to IOCC management and relevant departments.
  • Archive post-flight documentation for all flyadeal (FAD & Wetleased) flights in accordance with approved retention periods.
  • Ensure post flight records are properly indexed, secured, and protected against loss or unauthorized access.
  • Coordinate with approved shredding and disposal service providers to securely dispose of documents that have exceeded the prescribed retention period.
  • Ensure document disposal is conducted in compliance with IOSA, GACA, and company data protection requirements.
  • Support internal, regulatory, and IOSA audits by ensuring all required documentation is current, complete, and accessible.
  • Assist IOCC management in demonstrating compliance with document control and retention standards.
  • Ensure confidentiality and data protection principles are maintained at all times.

Desired Candidate Profile

Diploma or Bachelor s degree in Business Administration, Records Management, Aviation Management, or a related field (or equivalent experience).

Basic understanding of aviation regulatory documentation and compliance requirements.

Familiarity with document control and record-keeping principles.

Minimum: 1 3 years of experience in document control, records management, or administrative support roles.

Preferred: Experience within an airline operational environment, particularly IOCC or flight operations documentation management.
