Job Description

Roles & Responsibilities

The Legal Secretary will support the Legal function by providing high-quality legal administrative
assistance across the group. The role involves managing a broad range of legal administrative
matters including corporate governance, contract lifecycle management and compliance. The
Legal Secretary will work closely with internal stakeholders to ensure legal and governance
processes are accurate, efficient, and aligned with best practice in a large corporate
environment.
Responsibilities
Corporate & Company Secretarial Support
 Maintain statutory records for group entities across multiple jurisdictions, including
registers, filings, and corporate records
 Ensure timely filing of statutory documents with relevant regulators and authorities
 Monitor and track director appointments, resignations, and authorities
Contract & Document Management
 Establish and administer a contract database, ensuring accuracy, version control, and
audit readiness, which should be maintained on an ongoing basis and structured to
support M&A, financing, and audit processes
 Support implementation of contract approval processes and authority matrices
Compliance & Risk Management Support
 Provide administrative support in line with internal policies and regulatory requirements
 Conduct World-Check and other third-party due diligence screenings
 Compile, manage, and submit Know Your Customer (KYC) documentation for entities
and counterparties across jurisdictions
External Counsel Cost Management
 Track, review, and reconcile legal cost reports and legal invoices against budgets and
engagement terms

Requirements
 2-4 years of relevant legal secretary or paralegal experience (or
equivalent experience outside the UK)
 Experience within a large corporate, multinational, private equity
infrastructure and/or the energy sector preferred
 Strong organizational and administrative skills
 High level of confidentiality and professional integrity
 Ability to manage multiple priorities in a fast-paced environment
 Proactive, solution-oriented mindset
 Strong stakeholder management and communication skills
Minimum Education
Requirements  Legal Secretary, Paralegal, Legal Assistant, or equivalent
professional certifications preferred
Related/Technical
Skills
 MS Office Suite (Word, Excel, PowerPoint)
 Written and oral communication, English
 Attention to detail & document accuracy
 Time management & prioritization

 Compliance – Intermediate
