Job Description
Roles & Responsibilities
- Manage and coordinate the entire tenant fit-out process for multiple properties, from leased area handing over through to opening, regardless of whether the property is operational or under construction.
- Collaborate with tenants, property owners, service providers, and the tenant coordination team to ensure tenants fit-out processes align with tenant contract agreements.
- Manage the review of the tenant fit-out technical package, ensuring compliance with property design criteria, lease agreements, and local regulations.
- Coordinate with the fit-out coordination team to provide technical guidance and support to tenants and their contractors.

Facilitate the approval process for fit-out drawings, work permits, and related documentation.
Act as the primary point of contact for tenants regarding fit-out requirements and procedures.
Facilitate effective communication among tenants, contractors, consultants, property management, and relevant authorities to ensure smooth project execution.
Organize and lead regular coordination meetings to address Fit-out progress, challenges, and changes.
Ensure all fit-out activities comply with property s tenant manual safety regulations, health standards, and municipal codes.
Manage the fit-out works inspections to monitor progress and adherence to approved designs and schedules until final issuance of tenant installation completion certificate.
Address and resolve non-compliance issues and coordinate with the tenant coordination team for technical solutions.
Manage and handle tenant change requests and coordinate with facilities and operations for new provisions.
Manage and maintain accurate records of fit-out processes, approvals, and completion reports for all properties.
Prepare and submit progress reports, keeping management and stakeholders informed of tenants fit-out progress status.
Ensure all required fit-out documents are properly submitted by the tenants and approved.
Manage the handover process, ensuring that spaces are ready for tenant occupancy.
Manage and oversee the conduction of final inspections of fit-out work and resolve outstanding issues before opening.
Proactively identify and resolve issues or obstacles during the fit-out process to minimize disruptions and delays.
Gather feedback from tenants and stakeholders to improve future fit-out coordination processes.
- Bachelor s degree in Architecture, Project Management, or related discipline.
- Minimum 7-10 years proven experience in tenant fit-out coordination, project management, or real estate development, preferably within commercial, retail, industrial, or mixed-use properties.
- Thorough understanding of fit-out processes, landlord approval workflows, building regulations, and statutory compliance in the UK real estate sector.
- Strong proficiency with project management tools, document control systems, and Microsoft Office Suite.
- Excellent written and verbal communication skills, with the ability to build positive and productive relationships across diverse teams and with external partners.
- Demonstrated success working under pressure and managing competing priorities in a dynamic environment.
- Strong planning, organizational, and problem-solving skills.
- Strong coordination and project management skills.
- Detailed knowledge of retail fit-out processes and
standards.
- Excellent interpersonal and communication abilities.
- Problem-solving and conflict resolution skills.
- Familiarity with technical layouts and construction
documentation. - Degree of proficiency in spoken, written, and read
- languages:
* Arabic: Excellent (spoken, written, and reading)
* English: very Good (spoken, written, and reading)
- Previous leadership experience in managing tenant coordination teams or fit-out projects within commercial, retail, or hospitality environments.
- Sound knowledge of construction health & safety practices, CDM regulations, and quality control procedures as applied to tenant fit-outs.
- Experience working with landlord-tenant documentation, licence to alter, and handover procedures.
- Ability to analyze and interpret fit-out drawings and technical documentation.
- Familiarity with property management platforms or ERP systems such as Yardi is an advantage.
