Roles & Responsibilities
Key Responsibilities
Administrative Data Management & Record Keeping
- Maintain and update spreadsheets and internal databases using Google Sheets or Microsoft Excel
- Review data for completeness, accuracy, and formatting consistency
- Standardize records (names, contact details, region identifiers, notes)
- Identify duplicates, errors, inconsistencies, or missing information
- Flag unclear or incomplete data for follow-up
- Maintain structured file naming and folder organization
- Support reporting through clean and reliable datasets
- Keep accurate logs of updates and corrections
Task & Administrative Request Coordination
- Review and categorize incoming administrative requests
- Assign or route tasks to appropriate team members
- Track progress from assignment to completion
- Follow up on overdue or incomplete tasks
- Maintain clear documentation of task status
- Communicate effectively when clarification is needed
Tracking Systems, Logs & Reporting
- Update trackers for completed, pending, and in-progress work
- Log daily activities, issues, and follow-ups
- Prepare brief progress summaries
- Identify recurring issues or workflow gaps
- Escalate inefficiencies when patterns emerge
- Support reporting with organized documentation
Scheduling & Coordination Support
- Confirm team availability
- Update calendars based on instructions
- Send reminders for deadlines and milestones
- Track onboarding progress and checklist completion
- Support coordination to ensure smooth execution of tasks
Quality Assurance & Documentation Standards
- Review work for accuracy and formatting before submission
- Maintain consistent folder structures and naming conventions
- Ensure documents are accessible and easy to locate
- Support updates to internal process documentation
- Follow and maintain SOP (Standard Operating Procedure) compliance
