Job Description

Roles & Responsibilities

Reporting to the Managing Director - Eastern Hemisphere. The role will be responsible for the day to day administration of office activities, operational support, and customer facing coordination. In addition the position will work in close partnership with Finance, HR, Operations, and IT to support efficient business operations and maintain a high standard of service to internal and external stakeholders.

  • Office Management & Facilities Coordination
    • Manage all office maintenance and facility needs, including:
      • Pest control, AC servicing, cleaning schedules
      • Building management approvals and coordination
    • Oversee licenses, permits, and documentation renewals.
    • Coordinate with US-based IT support for local hardware, troubleshooting, and office technology needs.
    • Support hosting of customer sales meetings, including room setup, refreshments, and logistics.
    • Handle general administrative tasks such as printing, catering arrangements, and preparation of trophies or materials as needed.
  • Customer Experience Support
    • Process and manage sample orders, including:
      • Poland sample orders
      • Jebel Ali sample orders
    • Upload all SLB invoices to the Ariba portal accurately and on time.
    • Serve as backup for CE team members during vacations or peak workload periods.
    • Support order entry, invoicing, and customer communication as required.
    • Assist with growing CE workload driven by increased regional orders and customer activity.
  • Account Coordination
    • Manage selected small accounts in Africa and Asia, ensuring timely responses, order processing, and customer follow up.

Maintain accurate records and support regional CE (customer experience) reporting needs.

Desired Candidate Profile

Prior experience in office administration, customer service, or operations support.

  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Proficiency with business systems and platforms (experience with Ariba is an advantage).
  • Excellent communication skills and comfort working with cross functional teams.
  • Ability to work independently with a proactive, service oriented mindset.
  • Fluency in English (written and spoken) is required; additional languages are considered an advantage.
