Job Description

Roles & Responsibilities

Responsibilities:

  • Manage day-to-day office operations, including maintaining supplies, equipment, and facilities.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Handle incoming and outgoing communications, including phone calls and emails.
  • Assist with onboarding new employees and managing office-related HR tasks.
  • Organize and maintain office files and records, both physical and digital.
  • Manage office budgets and expenses, and process invoices and payments.
  • Plan and coordinate office events, team-building activities, and meetings.
  • Ensure compliance with office policies and procedures.
  • Act as a point of contact for vendors, building management, and other external parties.
  • Support the team with various administrative tasks and projects as needed.

Requirements

Minimum Qualifications:

  • 1-3 years of experience in office management or administrative roles.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Drive).
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving and decision-making abilities.
  • Natural proficiency in English writing and speaking.
  • Bachelor's degree in Business Administration, or a related field, or equivalent practical experience.

Preferred qualifications:

  • Experience in a fast-paced, tech-oriented environment.
  • Knowledge of basic accounting principles.
  • Familiarity with office management software and tools.
  • Ability to work independently and manage multiple projects simultaneously.
  • Keen eye for improving office efficiency and workflow.
  • Proficiency in a second language (e.g., French, Italian, or German)
